Process Documentation & Improvement Specialist

Reports To:Director of Business Operations

Role Overview

The Process Documentation & Improvement Specialist plays a critical role in helping Mullins Mechanical scale effectively by defining documenting and continuously improving how work gets done.

This individual will work alongside leaders and teams across all departmentsfrom Operations and Project Controls to Accounting HR IT and Safetyto map currentstate processes design improved futurestate workflows and create clear consistent documentation that teams can actually use.

This is a handson highownership roleideal for someone who is eager to learn the business from the inside out take responsibility for meaningful work and build a strong foundation in process improvement change management and crossfunctional collaboration.

Key Responsibilities

Process Mapping & Improvement

  • Partner with department leaders and subject matter experts to identify map and understand currentstate processes
  • Facilitate working sessions to identify gaps inefficiencies handoff issues and opportunities for improvement
  • Design and document futurestate processesthat are practical scalable and aligned with business goals
  • Continuously refine process standards as systems tools and business needs evolve

Documentation Standards & SOP Development

  • Own and maintain process mapping standards SOP templates and documentation guidelines
  • Develop clear concise and standardized documentation (SOPs workflows playbooks job aids)
  • Ensure all process documentation follows consistent structure terminology and formatting
  • Partner with teams to keep documentation current and relevantnot shelfware

Change Management & Rollout Support

  • Develop change management and rollout playbooksto support new or updated processes
  • Help teams understand the whybehind process changes and how those changes affect daytoday work
  • Support communication training materials and reinforcement plans to drive adoption

Training & Department Champion Enablement

  • Train and support department process championson documentation standards and best practices
  • Help teams learn how to maintain their own process documentation over time
  • Create simple training materials and guides to support onboarding and continuous learning

CrossFunctional Collaboration

  • Work closely with Operational Excellence IT HR Construction Accounting Preconstruction etc.
  • Be willing to learn unfamiliar functions and systems quickly
  • Serve as a connectorhelping teams see how their processes impact downstream departments

What Were Looking For

Experience & Skills

  • 26 years of experience in process improvement business operations project coordination documentation or a related role
  • Experience creating SOPs process maps or training documentation
  • Strong written communication skills with an ability to explain complex processes clearly
  • Comfortable facilitating conversations with a range of stakeholdersfrom field leaders to executives
  • Strong organizational skills and attention to detail

  • Comfortable working in ambiguity and figuring things out as you go
  • Curious by nature and always looking for better more efficient ways to work
  • Not afraid to ask questions challenge assumptions or dig into the details

Bonus (Not Required)

  • Exposure to Lean Six Sigma or continuous improvement concepts
  • Experience with tools like Lucidchartor similar
  • Familiarity with SharePoint knowledge management systems or LMS platforms
  • Construction engineering or industrial services experience
