The successful candidate will provide reliable and efficient administrative support across Human Resources payroll compliance and general office functions ensuring smooth day-to-day management of employees statutory requirements and operational administration for both factory and site activities.

Key Duties:
Human Resources & Employee Administration
Manage the full employee lifecycle (recruitment onboarding contracts terminations).
Maintain accurate and up-to-date employee records and files.
Monitor attendance leave and general employee data.
Assist with employee queries and day-to-day HR matters.
Support management with disciplinary and performance processes.
Ensure all employee contracts are current and properly filed.
HR Liaison with third party service providers including medical aids pensions NEC etc.
Payroll & Wages Administration
Collect and collate timesheets from factory and site teams.
Consolidate and verify wage data in Excel.
Prepare and submit payroll inputs accurately and on time.
Generate payroll reports for management and accounts.
Assist with monthly wage budgeting and cost tracking.
Compliance & Statutory Requirements
Ensure compliance with Zimbabwe labour laws and company policies.
Manage NSSA registrations submissions and queries.
Maintain proper documentation for audits and inspections.
Liaise with relevant authorities when required.
Vehicles & Licensing Administration
Maintain accurate vehicle files and records.
Ensure all vehicles are licensed and compliant at all times.
Process and track operator permits cross-border permits and certifications.
Monitor expiry dates and ensure renewals are completed on time.
Imports & Exports Administration
Coordinate and monitor import and export documentation.
Liaise with clearing agents and relevant stakeholders.
Ensure documentation is accurate to avoid delays and demurrage.
Track shipments and escalate issues where necessary.
General Administration & Office Support
Manage petty cash and assist with basic reconciliations.
Monitor fuel usage and report any discrepancies.
Provide administrative support to Directors when required.
Assist with ad hoc administrative and operational tasks.
Key Performance Indicators (KPIs)
Payroll inputs submitted accurately and on time each month
Zero missed statutory deadlines (NSSA contracts permits)
Employee records fully up-to-date and well organised
No expired vehicle licences or compliance documents
Minimal delays or penalties due to documentation errors
Accurate filing and administrative systems maintained
Key Skills:
Strong attention to detail and accuracy
Good organisational and time management skills
Clear communication (written and verbal)
Ability to handle confidential information professionally
Proactive and able to follow up without supervision
Comfortable working in a busy hands-on environment
Qualifications:
Diploma or Certificate in Human Resources Administration or related field.
Minimum 2 years experience in an HR/Admin or payroll-related role (preferred).
Experience working with payroll systems specifically Belina.
Experience in a factory or site-based environment is an advantage.
