We are currently restructuring our intake functions into a single high-performance team. We are moving away from the receptionist model to a Consultative Intake model where there are no call transfersjust seamless elite service from the first hello.
The Role (Scope of Work)
As a Legal Intake Specialist you serve as the primary point of contact for prospective clients seeking legal representation during time-sensitive and often stressful situations.
- Full-Cycle Inquiry Management: Respond to inbound client inquiries via phone email and web forms.
- Case Documentation: Gather and document relevant case information accurately within our CRM (Clio).
- Strategic Follow-Up: Conduct proactive outreach with prospective clients to ensure no lead is left behind.
- Team Synergy: Communicate effectively with the legal team regarding client needs and the level of urgency.
- Confidentiality: Handle sensitive and confidential information with absolute discretion.
Qualifications & A-Player Traits
- Bilingual Mastery: Proficiency in Spanish and English is required to serve our diverse client base.
- The Bedside Manner: You possess a calm empathetic and professional demeanor especially when working with clients under extreme stress.
- Critical Thinking: You can think outside the lines of a script to solve problems and build trust quickly.
- Technical Precision: Excellent attention to detail and organizational skills; ability to manage multiple inquiries and follow-ups efficiently.
- Experience: Prior experience in legal intake or a law firm environment is preferred (Criminal Defense experience is a major plus). We also value backgrounds in high-touch hospitality or customer experience.
Service Window & Engagement Expectations
- Availability: This is a Full-Time Independent Contractor role. You agree to maintain availability to support timely responses to inbound inquiries during the firms business hours: 9:00 AM 5:00 PM US Central Time (CST).
- Responsiveness: You will be expected to respond to assigned inbound inquiries within X minutes during the service window.
- Autonomy: You are responsible for managing your own schedule and workflow. You retain discretion over how and when services are performed provided agreed-upon response times and deliverables are met.
- Flexibility: You may perform services for other clients provided there is no conflict of interest with the firm.
Compensation & Terms
- Contractor Fee: Monthly salary (commensurate with experience and scope).
- Status: This is an independent contractor engagement and does not create an employment relationship.
- Compliance: As an independent contractor you are responsible for your own taxes insurance and compliance obligations. This role is not eligible for employee benefits paid time off or overtime.

- Accurate and complete intake documentation in Clio.
- Strong follow-up and high client engagement levels.
- Reliable communication and seamless coordination with the legal team.
