The team works with multiple subcontractors and contractors and relies on structured compliance tracking coordinated scheduling and accurate operational records. The business uses tools such as Excel for reporting and tracking AppFolio for property management data and utilities and QuickBooks for basic finance-related workflows.
About the Role:
This is a full-time operations support role that acts as the backbone of day-to-day execution across both construction and property management. You will own compliance tracking contractor follow-ups meeting accountability short-term planning visibility and accurate data entry. Success in this role requires strong organization confidence in following up with subcontractors and high attention to detail so leadership always knows who is responsible for what and what is falling behind.
Key Responsibilities:
- Track subcontractor compliance documentation including insurance and related requirements
- Maintain and update compliance status for each subcontractor (compliant vs. non-compliant)
- Track and confirm required paperwork submissions filed with HPD
- Coordinate with minority contractors to ensure all required documentation is submitted on time
- Follow up with subcontractors regarding missed meetings no-shows on-site and delayed action items
- Track weekly meetings and ensure contractors are accountable for assigned tasks and deadlines
- Monitor short-term planning including a weekly look-ahead of planned work
- Enter and maintain utility bills and operational data in AppFolio
- Perform general data entry and maintenance for property management records
- Support reporting and operational tracking using Excel spreadsheets
- Assist with basic QuickBooks-related tasks (training can be provided)
- Maintain clear internal tracking so management has ongoing visibility into owners responsibilities and next steps
Qualifications & Skills
Hard Skills:
- Demonstrated experience in property management specifically within the construction sector.
- Strong Excel skills for tracking reporting and maintaining spreadsheets
- Strong data entry accuracy and document management capability
- Familiarity with QuickBooks at a basic level (training can be provided)
- AppFolio experience preferred (can be trained if needed)
Soft Skills:
- Highly detail-oriented with strong organizational habits
- Proactive follow-up and accountability mindset comfortable working with subcontractors
- Clear professional communication across email and meetings
- Strong time management and ability to manage multiple moving items at once
- Reliable and consistent able to maintain clean tracking so nothing slips through the cracks
