What You Bring
Education & Experience:
- Grade 12 graduation from a recognized secretarial program
- Three (3) years recent related experience or an equivalent combination of education training and experience.
Skills And Abilities:
- Ability to communicate effectively both verbally and in writing.
- Ability to keyboard at 60 w.p.m.
- Ability to deal with others effectively
- Physical ability to carry out the duties of the position.
- Ability to organize work.
- Ability to operate related equipment.

Your Day to Day:
- Receive maintenance requests clarify details and enter them into the Computerized Maintenance Management System (CMMS).
- Issue work orders monitor their progress and follow up on outstanding or unusual requests or complaints.
- Generate reports related to maintenance activities and work orders as required.
- Support staff scheduling using computerized staffing systems including producing and maintaining the vacation master planner.
- Prepare type and distribute correspondence memos reports agendas and meeting minutes.
- Schedule appointments and coordinate meetings for Managers and Supervisors assessing urgency to meet operational needs.
- Maintain and organize departmental filing systems including personnel files correspondence reports plans drawings and manuals.
- Assist with the development and maintenance of departmental policies procedures and manuals by formatting typing updates and proposing improvements.
- Develop and document procedures related to departmental systems and processes for Manager review and approval.
- Perform reception duties including answering phones directing visitors distributing mail and forwarding messages.
- Order and maintain departmental supplies by preparing requisitions and coordinating approvals with Managers Supervisors and Logistics & Replenishment.
- Participate on committees as a Facilities Maintenance & Operations representative and complete followup actions as required.
- Perform other related administrative and clerical duties to support departmental with supervisors managers and hospital staff regarding work order status priorities and service concerns.
