Job Duties

The Department of Behavioral Health and Developmental Services (DBHDS) is seeking an experienced and motivated individual to serve as the Licensing Office Manager. This position provides administrative office oversight and support to staff and leadership to ensure timely processing of renewals information modifications and licensure documents of providers of Mental Health Development Disabilities and Substance Abuse Services in Virginia. This position also manages and coordinates administrative functions including eVA purchasing supply inventory records management fleet report filing systems phone message routing and the shared administrative email inbox as well as assists with provider sanctions adverse actions and related administrative proceedings with provider addition this position supervises and directs all administrative activities of program staff all operations associated with administrative tasks and administrative functions including the CONNECT database frontline customer service and communication.

Minimum Qualifications

Experience delivering high quality customer service and administrative support in a professional office environment.
Demonstrated experience supervising staff in a professional setting.
Proficiency with Microsoft Office applications.
Knowledge and experience in data processing and information management.
Exceptional oral and written communication skills.
Ability to communicate clearly professionally and effectively with internal staff leadership and members of the public.
Strong time management skills with the ability to adapt quickly and balance competing priorities.
Proven ability to manage projects and follow through on assignments to completion.
Capacity to handle multiple responsibilities simultaneously while meeting tight deadlines.
Ability to perform routine office functions including scheduling meetings preparing UPS mailings fleet report answering multi line phones coordinating calendars arranging travel working with vendors managing inventory maintaining records and files and processing purchase requests in eVA.
Ability to lead supervise and support administrative staff.

Additional Considerations

Knowledge of the DBHDS licensing process.
Familiarity with current state processes practices and procedures including eVA.
