- The Business Manager is responsible for facilitating the following outcomes:
- The management team has reliable and timely access to accurate and clear financial and marketing reports to enable them to make well-informed management decisions.
- We consistently meet our legal and financial reporting obligations to city state and federal government agencies.
- Bills are paid and invoices are collected consistently with an eye toward managing adequate cash flow.
- The production team has the financial information they need to provide high-quality and timely services to our clients.
- Files are well-organized and accessible to anyone who needs legitimate access to them.
Key Responsibilities
Financial Management and Bookkeeping
- Accounts Payable & Accounts Receivable
- Manage A/P and A/R activities including supervision of A/P Specialist
- Receive payments and record deposits
- Generate and invoice client and manage change orders
- Support job closeout by reconciling allowances for final invoices
- Track past due receivables and working with the Owner/General Manager on collection strategies
- Reporting
- Support the creation of the annual operating budget and burdened labor costs for Owner/General Manager review
- Make monthly Work In Progress entries (QuickBooks)
- Generate and review financial and other reports for company meetings Owner/General Manager review and builder groups including:
- Estimated vs. actual quarterly reports
- Job profitability reports
- Percent billable reports for staff hours
- Allowance reviews
- Dashboard metrics
- Create client reports: budget reviews
- Employees
- Approve employee time cards and prepare payroll
- Subcontractors
- Send and track subcontractor agreements
- Manage Auburndales insurance audits
Management
- Serve as a key member of the Leadership Team
- Supervise A/P Specialist
Project Facilitation
- Facilitate budget reviews with clients including back charges and credits
- Review subcontractor proposals & specs with the team
- Purchase orders:
- Oversee client selections process
Office and systems
- Facilitate the management and filing of company documents for quick retrieval as needed
- Assist in the development proper use and improvement of company forms and templates
- Review proofread and format outgoing project and legal documents
Hours: 40 hours/week (full-time) in-office position 8:30 am - 4:30 pm
Compensation and Benefits:
- $45/hour
- Start with 1 week of paid vacation (pro-rated based on start date) can carry over 24 hours with tenure paid vacation increases to 3 weeks
- 401k (employer matches up to 3%)
- 6 paid holidays per year

Qualifications:
- Financial Management Experience: Previous financial management and construction bookkeeping experience is required at least 3-5 years is ideal.

- Excellent Communication: You are clear and professional in your communication whether youre interacting with the team or external contacts.
- Tech-Savvy: Familiarity with office tools and software such as QuickBooks Online Microsoft Office Google Workplace and project management software such as Co-Construct or Builder Trend is important.
- Attention to Detail: You ensure that nothing falls through the cracks and that all systems are well-organized. We would like to rely on you to think ahead and keep us on task.
