Software & Data Specialist 1

  • 7:30 a.m. 4:00 p.m. (8 paid hrs/day)
  • Year-Round Letter of Assignment
  • Excellent Benefit Package
  • $22.70/hour after a 60-day probationary period

TITLE: Software & Data Specialist 1

QUALIFICATIONS: Requires a solid foundation of education and professional experience in data management and training support. Proficiency with Microsoft Office applications such as Excel Word and PowerPoint.

PERFORMANCE RESPONSIBILITIES

Software/ Student Record Maintenance

  • Maintain accurate student records and program participation data in the student information system (SIS).
  • Oversee and manage SIS tasks including enrollments rosters course information attendance fee waivers and tracking notifications for student services.
  • Administer related software tools by managing district accounts and ensuring data integrity for state reporting needs.

State & Federal Reporting

  • Manage and verify state reporting requirements including FallBEDS SpringBEDS CASA audits Certified Enrollment SRI (Fall Winter Spring) Assessment Accountability Dropout Foster Care Graduation Verification and Supplementary Weighting.
  • Collect update and maintain school and student data such as enrollment records school calendars staff data assessment results CTE course reimbursement data and school information updates.
  • Support district leadership and compliance needs by ensuring accurate data reporting.
  • Coordinate federal reporting requirements by collecting and entering student and staff data into the Civil Rights Data Collection (CRDC) portal.

State Records

  • Manage state system access and security as EdPortal Security Officer by approving role requests maintaining user records and providing technical support.
  • Oversee student identification processes by assisting with state ID assignments and maintaining SIS synchronization.
  • Ensure data accuracy and integrity by resolving errors and verifying SIS data.

Assessment & Student Testing

  • Coordinate state assessments by rostering students managing staff access and maintaining accuracy in testing platforms and the SIS.
  • Develop and distribute testing materials and documentation including session setup training guides testing tickets and tech support procedures.
  • Provide technical and administrative support to staff and schools during testing windows ensuring smooth operations and accurate reporting of student data.

Miscellaneous Responsibilities

  • Process data requests from district staff and external sources ensuring compliance with FERPA and FOIA guidelines.
  • Support schools with student data needs including attendance and enrollment and mentor staff requiring additional guidance.
  • Develop and assist with training materials and procedure guidelines for new or updated software.
  • Other duties as assigned.

PREFERRED SKILLS

  • Proficiency with Google Workspace for Education tools including but not limited to Google Forms Sheets and Docs.
  • Experience using the Infinite Campus student information system.

TERMS OF EMPLOYMENT

Salary and work year assigned according to the Letter of Assignment.

EVALUATION

The performance of this job will be evaluated by the Systems Administrator.

PHYSICAL REQUIREMENTS

Medium Work - lifting carrying pushing pulling 20-50 lbs. occasionally 10-25 lbs. frequently or up to 10 lbs. constantly. Stooping and kneeling occasionally. Reaching talking and hearing frequently. Must be able to remain mobile throughout the workday.
