General Summary:

The Pupil Accounting Support Specialist provides critical administrative and technical support for district-wide JK-12 enrollment data management and reporting. This role serves as a primary point of contact for shared-time student enrollment JK-12 registration and enrollment inquiries and specialized student services such as Homebound/Hospitalized coordination. The position ensures data integrity within PowerSchool maintains compliance with Pupil Accounting regulations (including Count Day and monthly SRM reporting) and supports the organization of district records and communications. The duties and tasks of this position are directed by the Pupil Accounting & Student Data Manager.

Essential Duties and Responsibilities:

Enrollment & Registration Support

  1. Serve as the primary point of contact for JK-12 registration inquiries via phone and email.
  2. Serve as the primary point of contact for shared-time sites including student enrollment information course enrollment etc. Coordinate enrollment scheduling and attendance for shared-time and non-public students.
  3. Act as a Central Registrar for electronic enrollment including JK-5 processing during the summer months and transitioning to full JK-12 electronic systems.
  4. Assist and organize the online student enrollment process.

Data Management & Reporting

  1. Provide State of Michigan General Collection (Count Day) support by running and generating reports out of PowerSchool and maintaining the Count Day Audit Instruction Notebook as directed by the Pupil Accounting & Student Data Manager.
  2. Coordinate monthly Section 23a reporting through MSDS Student Record Maintenance (SRM) with TC High School.
  3. Assist with the Civil Rights Data Collection (CRDC) organization and data gathering from PowerSchool.
  4. Facilitate student/course scheduling for shared-time classes; Enter grades (CTC virtual course and NMC) and attendance into PowerSchool ensuring timely submission from shared-time teachers.
  5. Run monthly Student Contact Reports.
  6. Distribute Direct Certification reports from MSDS to the Food Service and Student Support Network departments.

Technical & Systems Maintenance

  1. Assist with the management of PowerSchool calendar and schedule set-ups for new school years including both pre- and post-rollover processes.
  2. Maintain the Course Catalog in collaboration with the Pupil Accounting & Student Data Manager and Curriculum & Instruction Department including course numbers and descriptions.
  3. Confirm course sections and numbers used at shared-time sites match district offerings.
  4. Provide technical support for PowerSchool Parent Portal accounts.

Liaison & Administrative Coordination

  1. Serve as the Homebound/Hospitalized student liaison and coordinator.
  2. Act as a secondary or alternate certifying district official for Chapter 35/VA Survivors.
  3. Communicate with shared-time teachers and school administrators to collect Count Day items and report cards.
  4. Support Pupil Accounting communications in weekly communications (i.e. ASSIST) and via email to registrars administrative assistants and school site staff.
  5. Assist with the management and organization of the Pupil Accounting Google Drive and calendar.
  6. Ensure all Pupil Accounting documents and forms are ADA accessible.
  7. Perform other duties as assigned.

Knowledge Skills and Abilities Required:

  1. The minimum education requirement is a high school diploma. Previous college credit WorkKeys certification or college degree preferred.
  2. Advanced knowledge of Google Suites preferred. Advanced knowledge of PowerSchool for enrollment scheduling and reporting preferred.
  3. Experience with the management of student data and student enrollment is preferred.
  4. Exceptional attention to detail in data entry grade processing and state reporting (MSDS/SRM).
  5. General knowledge of math and accounting principles required.
  6. Strong interpersonal skills necessary for interacting effectively and courteously with community members family students and school personnel.
  7. Ability to follow directions.
  8. Ability to work independently.
  9. Ability to assist with maintaining records of student progress.
  10. Excellent organizational and time management skills.
  11. Ability to manage multiple timelines including summer enrollment peaks Count Day deadlines and record retention cycles.
  12. An analytical ability is necessary to gather and interpret data.
  13. Ability to resolve conflict.
  14. Dependable reliable and protective of sensitive/confidential information.
  15. Exceptional attention to detail and follow-through to meet deadlines.

Physical and Mental Requirements:

  1. Must be able to report on a regular and consistent basis.
  2. Maintain consistent and punctual attendance.
  3. The person in this position needs to be able to move about the office setting including stooping or crouching to access file cabinets office machinery etc.
  4. Duties include walking and physical activity. Must have the ability to move about the classroom/building and school property including bending pushing/pulling lifting twisting climbing stooping or crouching to complete work-related tasks with and without students.
  5. The ability to listen and effectively orally communicate information and ideas to a diverse population.
  6. Ability to effectively discern information and formulate appropriate action(s).
  7. Ability to think critically and provide appropriate solutions.
  8. Ability to work effectively and efficiently.
  9. Occasionally moves boxes and office supplies weighing up to 20 lbs across the office for various needs.
  10. Ability to drive to various locations throughout the district.

Environmental Conditions:

This is a largely sedentary assignment with most of the duties performed on a computer or phone in a professional office environment. This role routinely uses standard office equipment such as computers phones photocopiers filing cabinets and fax machines.

Work Schedules:

Must be available to report consistently with the positions established work day calendar which may include work days during school recess periods including summer and winter/spring breaks.
