Job Summary/Description:
The Assistant Controller / Office Manager is a critical hybrid role that ensures financial accuracy operational efficiency and workplace safety. This position manages full-cycle accounting and month-end reporting oversees HR administration and employee engagement and serves as the primary Safety Officer for the facility and fleet.
Duties/Responsibilities include but are not limited to:
Core Responsibilities:
Financial & Accounting Management:
Full-Cycle Accounting: Manage contract invoicing cash receipts and AP processing.
Month-End Reporting: Execute accruals reconciliations (Blackline) and digital revenue true-ups.
Tax & Compliance: Complete sales tax worksheets and provide commercial revenue reports.
HR & Employee Administration
Talent Lifecycle: Manage job postings onboarding and new hire orientations.
Payroll & Benefits: Administer timecards PTO and employee record maintenance.
Culture: Lead employee engagement activities and corporate wellness initiatives.
Safety & Regulatory Compliance
Safety Programs: Develop and update safety protocols (OSHA HazComm Forklift).
Fleet & DOT: Maintain DOT records driver files and schedule vehicle inspections.
Risk Mitigation: Manage SDS records chemical inventory and vendor insurance (COI) tracking.
Office & Operational Support
Facilities: Oversee supply procurement mail/shipping and legal document retention.
Logistics: Coordinate fleet registrations fuel cards and event travel (SEMA).
Media Ops: Manage commercial scheduling and clip licensing.
Qualifications/Requirements:
Key Requirements
Expertise: Strong background in accounting (accruals/reconciliations) and office operations.
Regulatory Knowledge: Familiarity with OSHA DOT and HR compliance.
Systems: Proficiency in accounting software (e.g. Infinium Zoho) and ELD systems.
Traits: Highly organized detail-oriented and capable of managing diverse functional areas.
