DescriptionJob Purpose
The Scheduling Coordinator is responsible for managing and coordinating the schedules of direct-care staff to ensure appropriate coverage and optimal service delivery. This role involves managing the direct care campus schedule to ensure adequate staffing tracking absences managing paid time off (PTO) requests scheduling specific youth activities tracking and reporting on overtime and other administrative tasks as needed. The Scheduling Coordinator will also notify supervisors of needed disciplinary action in accordance with company policy when necessary.
Essential Functions
- Maintain accurate schedules for all shifts of direct care staff.
- Ensure time and scheduling system is updated and accurate per the campus schedule.
- Track absences and notify supervisors of needed disciplinary action.
- Manage PTO requests and calendar according to policy.
- Coordinate youth travel needs and available staffing.
- Track and report on overtime hours.
- Manage operations databases related to scheduling absences PQI and PTO.
Job Responsibilities
- Develop and maintain efficient staff schedules to ensure adequate coverage across all shifts and operations.
- Adjust schedules as needed in response to staffing changes unexpected absences and other operational needs.
- Establish and maintain open lines of communication with leaders of residential team.
- Review and process PTO requests in a timely manner ensuring that all requests are in compliance with company policies and staffing requirements.
- Monitor and track overtime hours to ensure compliance with organizational policies and regulatory guidelines. Report on overtime usage identifying trends and working with leadership to mitigate unnecessary overtime.
- Ensure proper documentation of overtime hours and any stipends and submit reports to the payroll department for processing.
- Monitor staff attendance daily tracking tardiness unexcused absences and patterns of absenteeism. Maintain accurate records of absences and actions taken.
- Coordinate and schedule youth home visits working closely with direct care leaders to ensure coverage is available for transportation.
- Maintain operations databases for PQI and quality compliance purposes.
- Protect the credibility of the Rawhide mission by complying with the Rawhide standard of conduct and setting an example in words and actions that is consistent with the values and beliefs of Rawhide.
- Contribute to team effort by performing other duties as directed or assigned by the supervisor.
QualificationsQualifications
- High school diploma or equivalent required; Associates or Bachelors degree in Business Administration Human Resources or related field preferred.
- Minimum of 2 years of experience in staff scheduling workforce management or a similar role in a healthcare social services or direct-care setting.
- Familiarity with scheduling software and workforce management tools is a plus.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities to coordinate with staff and management.
- Ability to handle sensitive situations with professionalism and confidentiality.
- Proficient in Microsoft Office Suite (Excel Word) and scheduling software.
- Problem-solving mindset with attention to detail and accuracy.
- Ability to multitask and work under pressure to meet deadlines.
- Ability to think critically and creatively.
Working Conditions
- Primarily office-based with occasional travel to attend conferences meetings and other events. A hybrid schedule can be discussed after an initial training period.
- Regular use of computers and other office equipment.
- Ability to communicate effectively both in person and via phone or written communication.
- May require occasional lifting of materials up to 25 pounds.
