Are you highly organized proactive and comfortable working with stakeholders at all levels

Join Novo Nordisks Zurich office as our Reception & Office Coordinator and help keep our international hub running smoothly. This role combines reception duties facilities management supplier negotiations safety coordination in a dynamic multinational environment.

The Position

Reporting to the Zurich office leadership you will ensure day-to-day office operations are efficient safe and welcoming. Key responsibilities include:

  • Reception & front-desk support: staff the reception area answer phones and emails greet visitors and provide general administrative support.
  • Facilities & supplier management: handle office invoices place and track orders and manage relationships with facility vendors.
  • Maintain office maintenance tasks structure and document processes proactively track deadlines and drive follow-up actions.
  • Meeting support: coordinate meeting rooms refreshments and catering for internal and external meetings liaising with executive assistants and external catering partners.

Qualifications

  • Experience in multinational organisations and working with multicultural teams.
  • Fluency in English and German (spoken and written).
  • Confident interacting with senior stakeholders.
  • Service-minded flexible and accountable with a positive attitude.
  • Proactive self-organised and able to prioritise and deliver high-quality work independently.
  • Comfortable with multiple IT systems and quick to learn new tools; proficient in Microsoft Office.

You will be part of the Gulf Cluster sales team based in Qatar. You will report to the Country Sales Manager. The local team consists of approx 10 employees, and has highly-engaged and experienced members that are looking for a new teammember.
