GENERAL SUMMARY
Assists internal and external customers (retail and wholesale) with parts requests to ensure that the correct part is obtained the first includes identifying the correct parts and locating them out of inventory or placing orders for the requested assists in the Parts Department operations by maintaining and tracking the parts inventory and accessories.
DUTIES AND RESPONSIBILITIES:
Achieving High Standards
Principal Duties and Responsibilities:
- Greets all customers promptly provides timely professional services.
- Provides excellent customer service by listening to customer inquiries and requests asking questions so as to ensure understanding of needs and supplying parts in a timely manner.
- Recommends related parts that are needed.
- Provides customer a time estimate for obtaining part(s).
- Determine competitive selling price.
- Costs parts on invoice or repair order.
Additional Duties and Responsibilities:
- Maintains positive working relationships with customers.
- Informs customers when special order parts have arrived and will be delivered.
Working Effectively With Others
Principal Duties and Responsibilities:
- Provides technicians with necessary parts with minimal wait time; uses parts pre-picking when applicable.
- Builds productive working relationships consults with others as necessary.
- Has an approachable style; fosters open communication through active listening.
- Takes initiative to help others as needed.

- Follows up with customer to ensure that their needs have been met.
- Promotes cooperation and teamwork through actions.
Handling Pressure
Principal Duties and Responsibilities:
- Effectively handles changes in the Parts Department (e.g. changes in personnel incentive program changes etc.).
- Maintains composure in dealing with customers.
- Multi-tasks (e.g. handling multiple phone lines waiting customers etc.).

- Responsible for other duties as assigned and/or required by business need.
Managing Complexity
Principal Duties and Responsibilities:
- Coordinates with Service Department Sales Department Body Shop and others to ensure that parts requests are met.
- Identifies and supports opportunities for methods/process improvement in the Parts Department.
- Assists wherever necessary with coordinating delivery driver routes.
Additional Duties and Responsibilities:
- Recommends improvements for the Parts Department.
Understanding and Using Business Knowledge
Principal Duties and Responsibilities:
- Applies retailing techniques to sell and display parts and accessories.
- Obtains the Ford Parts Counter person Certification status.
Additional Duties and Responsibilities:
- Participates in departmental meetings.
Applying the Basics
Principal Duties and Responsibilities:
- Records back orders and monitors status of back orders.
- Uses computer to look up and monitor parts requests.
- Uses parts catalogs/microfiche/CPD/VCIS to acquire information on parts and accessories inventory.
- Maintains tight control over parts inventory to increase efficiency and eliminate customer delays.
- Dispatches parts orders to technicians.
- Places warranty parts in shipping boxes and ensures that they are sent back to Ford.

- Maintains a proper filing system for all paperwork corresponding to repair orders special orders and back orders etc.
