Position Summary:
Ashbrook Independent Schoola PS-grade 8 school in Corvallis OR is seeking a reliable and organizedBookkeeper. The Bookkeeper will be an enthusiastic andpositive team member of the Ashbrook Operations Team by managing the schools financial systems and records. The Bookkeeper will promote the Schools Mission and function under the direction of the Head of School as a contributing member of the overall school community.

Major Duties and Responsibilities:

The Bookkeeper will work to ensure the smooth and efficient maintenance of the financial records of the schools expenditures cash flow profit and loss as well as other financial activities.

  • Follows procedures outlined in the Ashbrook Bookkeeper Manual
  • Works closely with the Head of School to prepare and track the school budget
  • Prepares financial records and statements for the school
  • Counts and receipts all monies
  • Carries out regular deposits to the bank
  • Prepares all payments on the school account
  • Ensures that all transactions are entered into the computer on Quickbooks
  • Balances bank statements every month and submits monthly/quarterly reports to the Principal and Board of Directors; works with CPA for year-end financial reporting
  • Develops a relationship with insurance carriers and assists employees in enrolling and with difficulties
  • Orders supplies and investigates best prices for needed materials
  • Works with the Head of School to prepare and track the school budget
  • Processes payroll monthly including taxes and employee benefits
  • Bills customers; manages tuition related payments
  • Back-up office and health-room support
  • Supports management of student enrollment and financial aid
  • Perform other related duties as required.

Required Qualifications:

  • Associates degree in Accounting Finance Business Administration or related field or equivalent bookkeeping experience.
  • Minimum 23 years of bookkeeping or accounting experience.
  • Strong working knowledge of basic accounting principles including accounts payable accounts receivable and financial recordkeeping.
  • Proficiency with accounting software such as Quickbooks.
  • Advanced skills in Microsoft Excel and Google Sheets.
  • Ability to maintain accurate financial records and strong attention to detail.
  • Demonstrated ability to maintain confidentiality when handling sensitive financial and personnel information.
  • Strong organizational and time management skills with the ability to meet deadlines.
  • Effective communication and customer service skills for interacting with staff families and vendors.
  • Experienced and comfortable working with children.

Preferred Qualifications:

  • Bachelors degree in Accounting Finance or Business Administration.
  • Previous bookkeeping or accounting experience in a school or nonprofit environment.
  • Experience managing tuition management systems.
  • Familiarity with school budgeting processes and financial reporting.
  • Experience handling payroll processing and payroll compliance.
  • Knowledge of nonprofit accounting practices and financial regulations.
  • Experience working with school boards auditors or accreditation financial documentation.
  • Familiarity with student information systems and school administrative platforms.

  • Assist with the safety conduct and general welfare of students and employees on site.
  • Arrive to work and designated school functions on time and maintain regular job attendance.
  • Serve as part of Ashbrooks operational team.

Schedule:

  • This is a full-time position 5 Days a week7:30-4:00 (1.0FTE)
  • Start Date:June 1 2026
  • Open until filled - hire date by May

Compensation is determined by experience
