Our client a leading supplier of entrance automation solutions is looking for a Key Accounts Project Coordinator to join their team in Mississauga.

Key Accounts Project Coordinator Canada

The role of the Key Account Project Coordinator is to oversee operational Management of projects according to strict deadlines and within budget for Key Account Customers. The position includes overseeing resources and efforts of district offices and third-party contractors/service providers to deliver projects (both service and installations) according to plan. This role reports to Key Accounts Business Manager.

Responsibilities

  • Build develop and grow any business relationships vital to the success of Key Accounts (for both service and EQS)
  • Liaise with Key Accounts Business Manager (KABM) on an ongoing basis.
  • Assist in Customer Asset report generation and PPT slide deck
  • Review construction roll out from KAC and to plan yearly sales activities.
  • Manage Compliance portals
  • Train and assist District offices regarding quotes/ project management.
  • Generating SO (Service Order) report to identify doors rated 01 for replacement and share leads with district offices.
  • Monitor quote activities for EQS by District office and Prompt submission of quotes to requesting parties. Follow up on deadlines
  • Monitor correct market segment for EQS on iSAC by District offices
  • Monitor EQS iSAC dashboards and update variables (such as estimated booking dates cancelled/lost or on hold projects) based on latest information.
  • Upload EQS quotes to KAC portals and maintain them with updates. Prompt and Efficient Quotation Entry in various software platforms
  • Follow up on EQS quoted projects with Stores/ Facility Managers and update quote tracker and iSAC
  • Book EQS projects for POs received through portals and advise district office.
  • Oversee installation of Key Account projects being managed by District offices. Assist in implementation of project timelines.
  • Track EQS project milestones and deliverables.
  • Identify and resolve issues and conflicts within the project team.
  • Effectively communicate project expectations to district office team members and if required to third-party sub- contractors/service providers in a timely and clear fashion.
  • Communicate with various external stakeholders for more information discuss over the details confirm details discuss plans recommendation addressing issues provide updates and more.
  • Ensure submission of documentation (start up and close out)
  • Monitor commissioning and close out of projects with pics and warranty information. Successfully close out project on all levels.
  • Periodic meetings with all stakeholders to monitor KAC activities.
  • Create Reports Quote tracker capital budget (Capex) report and project install progress report.
  • Develop best practices and tools for project execution and management.
  • Liaison between end user and district offices for any issues and timely responses
  • Resolve invoice issues and Coordinate with Invoicing team to ensure payments are current.
  • Coordinate with End User to address invoicing issues for service and DA
  • Work with KABM to Interface with Architectural teams both internally and externally as required.
  • Define project scope goals and deliverables that support business goals in collaboration with key account business manager and senior management if required.
  • Review status reports from the project team analyze results and troubleshoot problem areas.
  • Proactively manage changes in project scope identify potential crises and devise contingency plans.
  • Define project success criteria and disseminate them to involved parties throughout project life cycle.
  • Conduct project postmortems and create recommendations report to identify successful and unsuccessful project elements.
  • Obtain insurance certificates and update portals on documentation

Additional Task:

  • Any other task required by KABM and the management team.

Position Requirements:

  • 5 years direct work experience in a project management capacity including all aspects of process development and execution.
  • Must have completed a degree or diploma in construction /engineering or related programs.
  • Ability to travel to sites or visit customers when needed
  • Must have a valid drivers license with a clean driving record
  • Strong familiarity with project management software.
  • Database and operating systems experience with third party EDI systems.
  • Competent and proficient understanding automatic door industry.
  • Experience at working both independently and in a team-oriented collaborative environment is essential.
  • Can conform to shifting priorities demands and timelines through analytical and problem-solving capabilities.
  • Reacts to project adjustments and alterations promptly and efficiently.
  • Flexible during times of change.
  • Persuasive encouraging and motivating.
  • Ability to defuse tension among project team should it arise.
  • Ability to bring project to successful completion.
  • Strong written and oral communication skills.
  • Strong interpersonal skills.
  • Strong customer service skills are required.
  • Ability to effectively prioritize and execute tasks in a high-pressure environment is crucial.
