Job Summary

Summary:
We are seeking a detail-oriented and organized File Clerk to join our dynamic Entertainment industry this critical support role you will be responsible for managing maintaining and securing a wide range of sensitive and high-volume documentation related to film production talent contracts distribution agreements and project archives. Your work will ensure seamless information flow across departments support legal compliance and contribute directly to the efficient operation of our production and business units. As a File Clerk in the entertainment sector you will play a pivotal role in preserving intellectual property records tracking project milestones and enabling quick retrieval of essential documents during fast-paced production cycles. This position requires precision discretion and a proactive mindset in a fast-evolving creative environment.

Responsibilities:
  • Organize classify and maintain physical and digital filing systems for contracts production documents talent agreements and project records.
  • Ensure all files are accurately labeled stored securely and comply with internal retention and confidentiality policies.
  • Retrieve update and distribute documents promptly in response to requests from production teams legal counsel and executive staff.
  • Digitize paper-based records using scanning and document management systems ensuring data integrity and version control.
  • Monitor filing systems for completeness flagging missing or outdated documents for follow-up.
  • Collaborate with department heads to standardize filing protocols and improve document accessibility.
  • Assist in preparing documentation for audits legal reviews and project closeouts.
  • Maintain strict confidentiality and handle sensitive information with discretion.
  • Support special projects such as archive migrations digital transformation initiatives and event documentation management.

Requirements

Requirements:
  • High school diploma or equivalent; associates degree in office administration or related field preferred.
  • Minimum of 2 years of experience in filing records management or administrative support within a corporate or creative environment.
  • Proven ability to manage high volumes of documents with accuracy and efficiency.
  • Proficiency in Microsoft Office Suite (Word Excel Outlook) and experience with document management systems (e.g. SharePoint DocuWare or similar).
  • Strong attention to detail organizational skills and ability to multitask in a fast-paced setting.
  • Excellent communication and interpersonal skills for effective collaboration across teams.
  • Understanding of confidentiality protocols and experience handling sensitive or proprietary information.
  • Ability to work independently and meet deadlines in a dynamic entertainment production environment.
  • Familiarity with entertainment industry documentation (e.g. talent releases union forms distribution rights) is a plus.
