Job Summary
The Outbound Executive is responsible for efficiently managing the Order-to-Cash (O2C) process; from sales order creation to customer cash collection ensuring accurate order fulfillment and timely delivery. This role requires close collaboration with internal teams like Sales Managers Sales Specialists Inbound Specialists Planners and external parties like Logistics Service Providers (LSP) and customers to optimize outbound processes and ensuring customer satisfaction in compliance with trade regulations and company policies
Job Responsibilities
- Sales Order and Delivery Order creation: Responsible for timely and accurate Sales Order and Delivery Order creation in SAP including communication with all relevant stakeholders regarding stock availability delivery lead-times and customer requirements.
- Outbound Supply Chain Management: Efficiently manage outbound supply chain processes to ensure timely and accurate delivery order changes and cancellations and coordination with various stakeholders including status updates for customers and relevant internal teams.
- Communication with Warehouse (WH) and Logistics Service Provider (LSP): Coordinate and communicate effectively with the warehouse and logistics service provider(s) to streamline operations and ensure smooth order processing and delivery. Track shipments coordinate deliveries and proactively address delays or disruptions.
- Trade & Customs Compliance: Ensure all outbound shipments comply with trade regulations and applicable customs requirements. Apply knowledge of trade mechanisms (e.g. Incoterms licenses and permits) to maintain accurate documentation.
- Invoicing and cash collection: Ensure timely and accurate customer invoice creation in SAP incl. Credit and Debit Notes e.g. for Goods Returns. Support monitoring and follow up of customer payments (AR).
- Problem-Solving: Identify and analyze issues related to order fulfillment warehouse and logistics quality or customer satisfaction. Apply established troubleshooting procedures and collaborate with colleagues to resolve challenges efficiently. Ensure clear and effective communication of solutions to customers and stakeholders.
- Inventory Management: Support monitoring of stock levels and ensure proper allocation for outbound shipments pro-actively identifies issues for excess stock and shortages in close collaboration with Planners and Inbound Specialists.
Job Requirements
- Degree in Supply Chain Management Logistics Business Administration or a related field
- Prior work experience in customer service outbound logistics supply chain or distribution management.
