JOB DESCRIPTION
Join a fastpaced marketing team where organization meets creativity. This role supports key marketing leaders by keeping projects data and daily operations running smoothly. Youll handle a mix of administrative coordination database management vendor research and project support playing a vital role behind the scenes while working closely with crossfunctional partners. Under direction of the Marketing Operations Sr. Manager and the Chief Marketing Officer (CMO) fulfills multiple department support functions and performs a variety of administrative tasks. Support functions include the maintenance of various information databases expense review vendor research project work and coordination of team activities. Administrative tasks include scheduling report generation proofreading and quality control assistance with communications data entry and coordination of travel arrangements.
ESSENTIAL DUTIES
Maintain the M&BD department internal site which serves as a database for multiple platforms of information available to the firm as well as a private team site with additional information available to the department.
Assist with the review of M&BD expenses to assure adherence to guidelines create expense reports and invoices for team members and maintain proficiency in expense reimbursement system.
Research options for relevant vendors establish vendor points of contact and maintain ongoing business relationships and obtain proposals for review.
Prepare summary documents on marketing research projects utilizing information provided by M&BD staff other firm administrative departments and attorney practice groups.
Coordinate department meetings and internal events including scheduling conference room reservations food and beverage arrangements multi-media needs and preparation of meeting materials.
Assist with Client Events team functions including tracking event registrations generating name badges signage and marketing materials and providing on-site staffing.
Assist Communications team with tracking firm submissions for legal industry rankings.
Assist with Season Ticket Program functions including electronic ticket delivery and tracking entering usage data and generation of reports.
Proofread documents communications and marketing materials.
Coordinate travel arrangements for department leadership and arrange remote office and meeting space needs in visiting office locations.
Perform other administrative tasks and duties as required by supervisor.

REQUIRED SKILLS
Advanced knowledge of PC applications including the entire suite of MS Office applications (Microsoft Word Excel and PowerPoint).
Ability to accurately type 60 wpm.
Thorough command of the English language including excellent spelling grammar punctuation forms and syntax.
Ability to express self effectively both orally and in writing.
EDUCATION & EXPERIENCE
Bachelors degree or equivalent in experience and/or training with two or more years of experience preferably within a legal/professional services environment preferred.
