Job Summary:The Administrative Assistant III provides administrative support for operations on a college-wide scale division-wide scale or unit-wide scale for units of comparable size scope and complexity wade scale to that of a college or division. Performs complex and some undocumented administrative tasks. Acts as office liaison/receptionist. Drafts and sends communications on supervisor/departmental staff or college/division behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Receives and routes phone calls emails and/or guests. Maintains files and enters data. Operates standard office equipment such as personal computers copiers fax machines etc.
Additional Department Summary:The Administrative Assistant III at the School of Law provides administrative support to the Dean for Students and the Dean of Academic Affairs and functions as secondary support to the Executive Assistant to the Dean and Vice Dean assuming their duties when necessary to maintain workflow.
Duties include but are not limited to: acting as a key contact point between the Deans Office and students faculty/staff and external constituencies; coordinating complex scheduling meetings and travel arrangements for academic leadership; resolving administrative problems and inquiries; updating files and coordinating processes to ensure efficient workflow in matters like Student Evaluations of Instruction and other administrative reports; managing sensitive and confidential information; processing and reconciling P-Card/Concur transactions; and performing other activities as necessary to assist administrative personnel.
Required Minimum Qualifications:High school diploma or GED and four (4) years of administrative experience; OR associates degree and two (2) years of administrative experience; OR bachelors degree or higher.
Skills and Knowledge:Attention to detail. Ability to coordinate multiple projects with competing deadlines. Ability to communicate professionally with a variety of constituencies and personalities both verbally and in writing. Discretion in handling sensitive or confidential information. Proficiency with general office software (outlook word excel powerpoint etc.).
