Operations Lead & Executive Coordinator

The Opportunity
We are a B2B media company and marketing firm that operates with the soul of a startup. We need an Operations managersomeone who is equal parts Executive Assistant Operations Specialist and Client Success Manager. You arent just managing a calendar; you are the glue that holds our sales onboarding and fulfillment processes together.
What You Will Own
- Executive Support: Manage the CEOs calendar including scheduling high-stakes onsite meetings and coordinating travel.
- The Onboarding Engine: Once a sale closes you take the lead. Youll handle invoices vendor information and initial client outreach to ensure a seamless transition to fulfillment.
- Client Coordination: Act as the primary point of contact for Mid-Market and Enterprise clients (often managing up to 5 stakeholders per account). You will explain our process set deadlines and hunt down the assets we need to succeed.
- Project Management: Use ClickUp to track project milestones ensure deadlines are met and provide comprehensive reporting at the end of each project.
- AI Efficiency: Proactively use AI tools to automate repetitive tasks draft communications and streamline your own workflow.
