Job Summary

POSITION OBJECTIVE

Provide direct executive support to the CEO and manage administrative and Human Resources operations in a structured manner ensuring timely task execution proper information organization support in the coordination and administrative management of onboarding and offboarding processes as well as follow-up on internal activities through the use of digital tools project management and communication platforms in order to guarantee operational efficiency information traceability and the proper functioning of internal processes.

RESPONSIBILITIES

Executive

  • Provide direct administrative and organizational support to the CEO in daily operations.
  • Manage and coordinate calendars meetings and commitments (personal and business).
  • Handle emails follow-up on pending items and internal and external communications.
  • Coordinate tasks priorities and reminders to ensure timely execution.
  • Follow up on assigned activities and ensure their completion.
  • Handle confidential information with a high level of discretion and professionalism

Human Resources

  • Manage and update employee documentation (contracts onboarding offboarding records)
  • Support the execution of onboarding and offboarding processes.
  • Prepare update and organize HR documents policies and files.
  • Gradually support recruitment processes (job postings resume screening interview coordination).

Administrative

  • Provide administrative support to other areas when required
  • Support the execution of workflows and operational tasks
  • Identify opportunities for improvement in organization processes and efficiency.
  • Ensure proper use and updating of internal tools (Drive CRM task systems etc.)

EDUCATION

  • Bachelors degree in Business Administration Psychology Human Resources or related fields.

REQUIREMENTS

  • 1 to 2 years of experience in administrative assistant executive assistant or similar roles
  • Experience managing calendars tasks and administrative coordination.
  • Strong organizational skills and ability to handle multiple tasks simultaneously.
  • Excellent written and verbal communication skills.
  • English level C1
  • Advanced proficiency in Google Workspace (Docs Sheets Drive Calendar Gmail)
  • Experience using CRM systems (HubSpot Salesforce Go High Level or similar)
  • Experience with project management tools (Asana Trello Monday or similar)
