Whats the role

As the Team Coordinator reporting to the Director of Operations you will provide coordination and administrative support to two GM-1s and delivery leaders across project and operational activities. You will take ownership of day-to-day administration enabling Heads of Program Managers and their teams to stay focused on program delivery with confidence that coordination and team support are effectively managed.

In addition you will support Heads of and delivery managers with people management administration including PeopleHQ requests and onboarding and assist with scheduling and coordinating project meetings and workshops. You will also manage Clarity onboarding and approvals on behalf of work packages within the teams remit.

Youll provide broader leadership support by organising team events and presentations managing venues and catering supporting expense management and PCards collating weekly approvals for GM1 review assisting with diary management and handling property management requests.

What do I need

  • Strong organisational and administrative skills with proven experience as a Team Coordinator or Executive Assistant managing multiple priorities simultaneously.
  • Excellent written and verbal communication skills including the ability to prepare clear reports and liaise effectively with stakeholders at all levels.
  • Proactive solution-focused approach with the ability to perform effectively in a fast-paced high-pressure environment.
  • Experience using project management tools such as Clarity JIRA Confluence Microsoft Project or similar with the ability to quickly learn new systems.
  • High attention to detail ensuring accurate documentation tracking and follow-up of tasks and project activities.
  • Strong collaboration skills with the ability to work effectively across cross-functional teams to support project delivery and outcomes.
  • Demonstrated ability to anticipate needs prioritise workloads and provide reliable administrative and coordination support.
