Job Summary

SUMMARY/OBJECTIVE: The purpose of the Campus Operations Manager is to assist and manage various administrative and operational duties on our St. Louis Ponce Health Sciences University (PHSU) campus. This includes order tracking and inventory management orders and supplies management data management vendor management data analysis budgets facility management and other administrative duties. The Campus Operations Manager serves as the first point of contact for handling vendor related matters scheduling office/security/IT/facilities services and supports campus events.

Principal Duties/Responsibilities:

  • Work with the Campus Director to maintain facilities including scheduling annual cleaning maintenance and furniture/fixture refresh.
  • Manage and coordinate operations i.e. IT janitorial security etc.
  • Supervise campus IT Specialist.
  • Assist Campus Director in managing budget including budget preparation
  • Manage requisition process including submitting contracts for review vendor creation reviewing invoices for accuracy and submitting and monitoring requisitions.
  • Review and prepare requisitions for corporate credit card statements.
  • Create and maintain expense reports adhering to policy.
  • Track supply and asset inventory and approve supply orders for the school; assist in inventory and asset control.
  • Assist with planning set-up and tear down of campus events
  • Manage door and access schedules
  • Administer IDs access badges and parking passes for employees and students
  • Assist with room scheduling and room assignments
  • Troubleshoot requests and issues from students faculty and staff
  • Assist with new employee onboarding
  • Schedule expenditures: analyze variances and initiate corrective actions.
  • Organize and delegate outside vendors and services for the office.
  • Other duties as assigned.

COMPETENCIES:To perform the job successfully an individual must be dependable team-oriented and have good inter-personal and communication/ organization skills and the ability to interact effectively with employees students outside vendors and service providers. Excellent written verbal communication and customer service skills.Excellent organizational skills. Time management and the ability to meet deadlines and multi-task are required. Critical thinking skills when reviewing documents spreadsheets and other data points.

QUALIFICATIONS:To perform this job successfully an individual must be able to perform each essential duty satisfactorily. High School Diploma or Associates Degree Bachelors Degree is preferred. 2 years or more years of related experience in construction facilities or operational management.

Computer Skills: To perform this job successfully an individual should have general knowledge of computers including Microsoft Office Applications such as Word PowerPoint Outlook and Excel. Experience with virtual meeting platforms such as Zoom and MSFT Teams. Knowledge in Jenzabar Anthology and CRM strongly recommended.

Certificates Licenses Registrations:Certifications in administrative proficiencies appreciated.

While performing the duties of this job the employee is regularly required to sit and to use hands to type on computer operate office equipment and handle books files documents etc. Must be able to talk and hear to answer phones and when assisting others. The employee is occasionally required to stand walk reach with hands and arms climb or balance and to stoop or kneel. The employee must occasionally lift objects weighing from 10 30 pounds and possibly up to 50 pounds. Close vision needed to use computer. Must have distance vision and depth perception for safety purposes. Occasional travel to the Puerto Rico campus may be required.

WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The work environment in this position is characteristic of a normal office environment. The noise level in the work environment is usually mild to moderate. At times the position requirements will require the ability to produce results in a fast-paced environment. Professional mannerisms are expected as a representative of the university. This position requires autonomy to make decisions and the ability to accept performance feedback. Occasional work after hours and weekends may be necessary during busy times or for events.
