JOB DUTIES (SUMMARY): - Performs duties of receptionists (e.g. answers telephone screens calls and refers party to appropriate office; answers questions of a general nature; schedules appointments interviews hearings etc.); greets visitors and directs parties to proper authority.
- Types reports forms legal documents and routine correspondence; maintains records and filing system according to department procedures.
- Maintains inventory of departmental supplies performs cost comparisons.
- Prepares information packets for workshops seminars and department meetings; summarizes questionnaires and evaluations sheets from workshops seminars and department activities.
- Demonstrates regular and predictable attendance.
OTHER DUTIES AND RESPONSIBILITIES: Other duties as assigned. POSITIONS SUPERVISED: None KNOWLEDGE SKILLS AND ABILITIES: (*Indicates can be developed after employment) Knowledge of: | Department policies and procedures*; office methods and practices; public relations; basic mathematics; office supplies inventory systems; library organization. | | | Skill in: | Use of business office equipment (e.g. copier typewriter PA systems switchboard telephone etc.); typing. | | | Ability to: | Communicate effectively in oral and written form; develop and maintain effective working relationships with supervisors co-workers general public and elected officials; handle questions of a general nature and refer public to appropriate offices for responses to sensitive questions; maintain accurate records reports etc.; count using basic addition and subtraction; sort items in alphabetical or numeral order; recognize and correct spelling and grammatical errors. |
