Job Summary

We are seeking a highly organized detail-oriented and proactive Virtual Personal Assistant to support our insurance team remotely. The ideal candidate will assist with administrative tasks client communication policy management support and day-to-day operations to ensure smooth business workflow.

This role requires strong communication skills confidentiality and the ability to manage multiple tasks efficiently in a fast-paced insurance environment.

Key Responsibilities:

  • Manage calendars schedule appointments and coordinate meetings
  • Handle emails phone calls and client inquiries professionally
  • Prepare reports presentations and documents
  • Maintain digital filing systems and databases
  • Assist clients with basic policy inquiries and appointment scheduling
  • Prepare and process insurance applications and documentation
  • Follow up on policy renewals claims and payments
  • Maintain accurate client records in CRM systems
  • Send reminders for policy renewals and outstanding documents
  • Support lead generation and follow-up communications
  • Manage social media scheduling (if required)
  • Assist in preparing marketing materials and email campaigns
  • Ensure all client data is handled confidentially
  • Maintain compliance with insurance regulations and company policies

Qualifications:

  • Proven experience as a Virtual Assistant or Administrative Assistant
  • Knowledge of insurance products (life health auto home etc.) is a plus
  • Proficiency in Microsoft Office Google Workspace and CRM systems
  • Excellent written and verbal communication skills
  • Strong organizational and time-management abilities
  • Ability to work independently and meet deadlines
  • High-speed internet connection and reliable computer setup
