SUMMARY:
Under the direction of the assigned supervisor this position provides comprehensive administrative support to ensure the efficient and effective operation of the Special Education Department. The role handles routine Special Education inquiries and delivers responsive knowledgeableassistanceto staff parents and external partners. Responsibilities include receiving processing andmaintainingdepartment files and recordsin accordance withdistrict standards and compliance requirements.

MAJORRESPONSIBILITIES AND DUTIES
Special EducationSupport
- Provide administrative and secretarial support to the assigned supervisors.
- Schedule meetingstrainings andconference rooms; prepare agendas and materials asrequested.
- Attend meetings as assigned for the purpose of collecting information necessary for departmental operations.
- Maintainaccuratephysical and electronic Special Education records documents and files to ensure compliance with state and federal requirements.
- Respond to routine Special Education inquiries and route questions toappropriate staffmembers.
- Maintain calendars for assigned special education leaders including appointments deadlines and compliance-related timelines.
- Monitor andmaintaininventory of departmental supplies testing materials assistive technology equipment and instructional resources; process orders as needed.
Budgeting Finance and Grant Oversight
- Perform routine bookkeeping tasks andmaintainSpecial Education budget grant and expenditure records.
- Prepare process and track purchase orders contracts and payment authorizationsin accordance withdistrict financial procedures.
- Assistwith the development monitoring and maintenance of annual departmental budgets and grant budgets aligned to Special Education programs and services.
- Balance and reconcile budgets forSpecialEducation.
- Perform cost accounting financial reconciliation and documentation
Contracts Vendor Management & IEE Support
- Obtain secure and process contracts related to Special Educationtoservice providers and contracted support staff.
- Assistwith onboarding new vendors including completion of district-required forms and setup procedures.
- Maintain contract files service agreements andrequiredvendor documentation.
- Serve as a liaison between the Special Education Department vendors and district finance personnel to ensuretimelypayment and contract compliance.
Reports Correspondence & Documentation
- Prepare correspondence memo forms and reports according to district standards and timelines.
- Receive prioritize and distribute incoming mail documents and requests; prepare outgoing mail and communication.
- Compilemaintain and secure allrequiredphysical and electronic recordsin accordance withfederal IDEA guidelines and district retention policies.
Policy Compliance & Professional Standards
- Maintain confidentiality of student information in strict accordance with FERPA and IDEA regulations.
- Participate in professional development opportunities to enhance job skills and stay current with district procedures and compliance expectations.
- Ensure that practices align with district policies operating procedures and legal requirements including federal and state Special Education regulations.
- Follow the Professional Code of Ethics and Standard Practices for Texas Educators as applicable to all district employees.
- Follow district safety protocols and emergency procedures.
- Perform other duties as assigned to support the efficient and compliant operation of the Special Education Department.
QUALIFICATIONS:
Education/Certification:
- High School Diploma orequivalent
- Associate degree(preferred)
Experience:
- Three (3)yearsof successful clericalexperience
SPECIALKNOWLEDGE/SKILLS/ABILITIES:
- Knowledge of school district organization operations and administrative policies
- Ability to read andcomprehendinstructions correspondence and memos
- Ability to follow verbal and written instructions
- Excellent public relations organization communication and interpersonal skills
- Ability to use software to develop spreadsheets perform data analysis and do word processing
- Ability tomultitasknumerouscomplex administrative activities
