The Position
As the Philanthropy Coordinator reporting to the Director Donor Services & Operations you will provide critical administrative CRM basic prospect research coordination and operational support across the Philanthropy department. You will strengthen team efficiency support donor operations and enhance departmental workflows and operational effectiveness across the Philanthropy team.
You are highly organized proactive and committed to supporting a mission-driven team. You anticipate needs ask thoughtful questions and excel at keeping complex operations running smoothly. You thrive in a collaborative environment and enjoy being a go-to resource for administrative CRM and departmental coordination.
What success looks like
- Support unique gift processing tasks (DAFs third-party platforms such as Benevity CanadaHelps United Way Rallybound).
- Assist with gift documentation coding and donor file management.
- Provide basic (entry-level) prospect research support including the use of AI enabled tools and databases.
- Provide CRM (Salesforce) administrative and data hygiene support in partnership with the Manager Philanthropy CRM & Pipeline including record updates activity entry standardized reporting and data quality checks.
- Support monthly financial reporting and defined administrative processes related to invoices and expense tracking.
- Assist with the preparation of donor stewardship materials including acknowledgements letters and briefings.
- Coordinate department wide and leadership meetings including agendas minutes logistics and follow-ups.
- Provide focused administrative support to the VP of Philanthropy including meeting preparation donor materials CRM updates and coordination of defined donor moves management followup activities.
- Provide limited timebound administrative support to other Philanthropy leaders during defined peak periods as required and within established scope.
- Support onboarding coordination for new Philanthropy team members.
- Maintain and organize Philanthropy SharePoint/knowledge repository.
- Support defined operational processes documentation and SOP development related to Philanthropy administrative and coordination functions.
As our ideal candidate you will have:
- Experience in nonprofit administration customer service or operations.
- Strong administrative organizational and project coordination skills.
- Excellent written and verbal communication abilities.
- Experience with CRM systems (Salesforce preferred)
- Highly proficient in Microsoft Office (Word Excel PowerPoint Outlook).
- Strong judgment discretion and comfort handling sensitive information
- Comfort working independently and collaboratively in a team environment.

The salary range for this position is anticipated to be between $ 44000 and $ 55000. We comprehensively evaluate a variety of factors to determine fair compensation including experience specific job-related skills and relevant educational or professional training.
