Maintenance Planner / Parts Interpreter

About the Role

The Maintenance Planner / Parts Interpreter is responsible for the efficient planning scheduling and coordination of maintenance for Urban Resources and TRACC Civil plant operating on external sites.

This position ensures plant availability by proactively managing service schedules maintaining service kits and filter stock sourcing parts accurately and supporting field service operations. The role requires strong organisational skills technical plant knowledge and the ability to identify plant makes models and variations for correct parts procurement.

Key Objectives

Manage and maintain a structured maintenance plan considering plant location and urgency
Ensure service kits are prepared and available as required
Maintain accurate inventory and stock registers
Monitor and maintain service kit and filter stock levels
Ensure timely and accurate procurement of parts
Support workshop and field service efficiency

Duties & Responsibilities

Maintenance Planning

Complete the weekly service plan by midday Monday
Open scheduled service work orders
Print service mechanical check and defect sheets from weekly plan
Pick filter kits as per weekly plant schedule
Replenish filter stock and update available inventory
Update Faults and Hours from service truck fuel sheets
Update completed services from service sheets
Conduct service truck fuel sheet checks
Alert Supervisors of urgent faults or mechanical concerns
Add service mechanical check and inspection documentation to plant folders and Vista
Close out work orders once all payroll and invoice costs are processed
Edit service sheets as required
Complete SOS samples and arrange laboratory analysis
Update Urban Resources Donesafe daily
Update TRACC Civil work history records

Purchasing & Parts Interpreting

Order and maintain stock of all filter kits for Urban Resources TRACC Civil and Field Services
Follow up with suppliers regarding back orders and delivery timelines
Build and maintain strong supplier relationships
Identify plant make model and variations to accurately source parts
Issue purchase orders for Urban Resources TRACC Civil and Field Services
Maintain plant and equipment records
Maintain service libraries for both Urban Resources and TRACC Civil
Prepare service kits for field servicemen and ensure documentation is signed and up to date
Assist the Purchasing Officer during periods of absence

Record Keeping

Maintain all stock control registers
Schedule and conduct monthly stocktakes
Ensure accurate documentation and data entry across systems

Occupational Health & Safety

Take reasonable care for personal safety and the safety of others
Follow all safe work procedures and management directives
Use PPE as required
Report all accidents incidents and hazards immediately

Skills & Knowledge

Strong understanding of maintenance planning and purchasing processes
Sound record-keeping and administrative capability
Intermediate computer skills (CMMS inventory systems MS Office)
Strong time management and organisational skills
Developed written and verbal communication skills
Ability to prioritise in a fast-paced operational environment

Qualifications & Experience

Industry experience within the Mining and/or Civil sectors
Current Manual C Class Drivers Licence
Forklift Licence
Basic First Aid Certificate
Demonstrated experience in plant maintenance coordination or parts interpreting
