Facilities Coordinator / Receptionist

Position Overview:As a Facilities Coordinator/Receptionist you serve as the first point of contact for building occupants while coordinating essential facility operations. This role combines professional reception services with hands-on facility coordination ensuring smooth daily operations and excellent customer service for all building users.

Key Responsibilities:

Reception & Customer Service:You will serve as the primary reception contact greeting visitors managing inquiries and providing exceptional customer service to all building occupants and guests. This includes managing visitor registration directing calls handling mail and deliveries and maintaining a professional welcoming environment at the reception desk.

Meeting Room Management:You will oversee the complete management of meeting room facilities including booking coordination setup arrangements audiovisual equipment operation and ensuring rooms are properly prepared for meetings. This involves managing the meeting room reservation system coordinating catering services when required and resolving any technical or logistical issues to ensure seamless meeting experiences for all users.

Facility Operations Coordination:You will coordinate daily facility operations including cleaning services maintenance requests and vendor activities. This involves monitoring service delivery standards communicating with JLL vendors and ensuring all facility services meet established quality expectations.

Work Order Management:You will create and track work orders for building maintenance and repairs using the Corrigo system. This includes logging tenant requests following up on open orders updating work order status and ensuring timely completion of all facility-related tasks.

Administrative Support:You will provide administrative support for facility management activities including basic invoice processing maintaining vendor contact information and organizing facility documentation.

Requirements:

  • Valid drivers license for punctual local mobility requirements
  • Strong English language.
