About the Role

The primary duties of theDevelopment Associateand Campaign Coordinator areto providecomprehensive administrative support to the Chief Development Officer(75%) andto supportCampaign-related activities (25%).

Key Responsibilitiesof the Role

Administrative Supportfor the Chief Development Officer(75%)

  • Provide comprehensive administrative support to the Chief Development Officer including calendar management meetingand outreachcoordination travel arrangementsexpense managementand document preparation.

  • Manage and prioritizecommunicationsandconstituentoutreachfor the CDO ensuringtimelyresponses and follow-up actions.

  • Prepare and organize materials for meetings presentations and reports as needed bythe CDO including tracking and drafting agendas.

  • Ensuretimelypreparation anddeliveryofbriefings for donormeetings.

  • Assist CDO in preparing formeetings withtheCEOtheChair of the Board ofTrusteesandother internal/external meetings as needed includingarranging forresearch briefscompilingagendas and other information/materialsasappropriate.

  • Assist with the Philanthropy Committee of the Board as needed

  • Play a leadership roleinthe weekly CEO/CDOPrioritiesmeetingwhich manages donor outreach.Maintaintracking system and collaborationwith key members in the departmentandin coordination with the Executive Office.With the CEO/CDO Priorities group and in partnership with the Executive Office coordinate and arrange donor travel trips for the CEO and CDO (New York Florida etc.)

  • Draft correspondence for outreach emails.

  • Overseethe CDOs signing ofgift acknowledgment letters on a weekly basis.

  • Manage allCDOexpense submissions trackingandreporting.

Department Support

  • Staffand prepareagendas for weekly senior developmentmeetingsand monthlydevelopmentdepartment meetings.

  • Workclosely with the VP forDevelopmentand Campaign Planning to plan all aspects of seniordevelopmentretreats(twice per year).

Support for Campaign(25%)

Volunteer Supportand Engagement

  • Assist theCDOandAVPofIndividualPhilanthropyin coordinating and supporting the activities of theEngagement Councils includingagenda setting eventlogistics prospect lists and preparation of all meeting-related materials.

  • Track allCDOdonormeetings uploading information into Tessitura.

  • Support the donor portfolio management of leadership volunteers including board members.

  • Collaborate withDevelopmentevents teamand the individual gift officers to support and help manage event outreach.

Project Support

  • Collaborate withCDO VP of Development and Campaign Planning andAVPon various projectsaimedto supportCampaign.

  • Conduct research compile data and prepare reports to supportCampaign as needed.

GeneralAdministrativeDuties

  • Maintaina high levelof professionalism and confidentiality in all interactions with board members staff and external partners.

  • Perform other administrative and operationalduties asassigned to support the development and engagement goals of the BSO.

  • Stock and replenish general office supplies printer paper and other supply orders upon request by colleagues.

  • Reservemeeting spacesmanagecalendar invitescoordinatecatering and other important tasks.

  • Coordinating set upofstaff meetings as needed.

  • Staff development and board eventsupon request.

Required Education and Experience

Qualifications

  • BS/BA or equivalent

  • Priorexperience as an Executive Assistantor equivalent ispreferred (1-2 years).

  • Priordevelopmentexperience or equivalentrequired (1-2 years)

  • Strong customer service skills donor relations experience preferred.

  • Strong writing and excellent proofreading skills

  • Ability to be pro-active

  • Superior organizational and project management skills and ability to manage multiple tasks in a fast-paced environment

  • Strong computers skills experience in CRMs preferred

  • Exceptional attention to detail and an ability to handle confidential materials with discretion

  • Sense of humor and overall flexibility important

  • Willingness to work evening and weekends when needed

  • Position requiressignificanttimeon the Tanglewood Campus in the Berkshires in the summer months
