VACANCY: Technical Administrator
REPORTING: AMO Accountable Manager
LOCATION: Durban
Position Overview
Aero Support Force Africa (Pty) Ltd has a requirement for a knowledgeable proactive and safety-focused individual to fill a position as a Technical Administrator.
The Technical Administrator is responsible for the structured administration coordination and regulatory compliance of maintenance crew operations across all jurisdictions. The role reports operationally to the Accountable Manager and provides financial and HR alignment support to the Head of Maintenance.
KEY JOB RESPONSIBILITIES
Maintenance Crew Deployment Coordination
- Coordinate all maintenance crew deployments (local & international).
- Manage visa and work permit applications.
- Arrange travel accommodation and transport.
- Maintain structured crew scheduling and rotation plans.
- Prepare complete deployment documentation packs.
- Track deployment costs and submit monthly reports.
Part 145 Training and Licensing Administration
- Maintain training matrix and compliance tracker.
- Track SACAA Part 66 license renewals.
- Ensure zero expired certifications.
- Update Air Maestro within 5 working days of changes.
- Maintain AME stamp control register.
Arms Control and Regulatory Compliance
- Maintain DCAC SAO and SATA documentation files.
- Maintain Internal Compliance Programme (ICP) records.
- Ensure regulatory submissions are accurate and timeous.
- Maintain audit-ready documentation at all times.
- Regulatory audit preparation.
Aircraft Sales Administration and Commercial Coordination
Sales Agreement Control
- Ensure aircraft sales agreements are issued and formally signed.
- Track signature status and maintain controlled records.
- Ensure signed agreement is received prior to order placement.
Robinson Helicopter Order Configuration and Placement
- Ensure correct aircraft configuration per signed agreement.
- Verify technical specifications and options prior to OEM submission.
- Maintain configuration checklist and version control.
- Ensure internal approval before OEM submission.
Financial and Banking Coordination
- Communicate with client and/or financing bank regarding funding.
- Ensure deposits are invoiced per milestone schedule.
- Confirm receipt of deposits prior to production confirmation.
- Track milestone payments and escalate overdue payments.
- Contract and agreement administration.
- Banking / milestone payment tracking.
Robinson Helicopter Delivery and Logistics Coordination
- Follow up with OEM regarding production and delivery schedules.
- Maintain delivery timeline tracker.
- Inform Logistics department to arrange freight upon confirmation.
- Ensure export documentation requirements are identified early.
CRITICAL REQUIREMENTS
- Calm under pressure while maintaining high-quality standards.
- Effective stakeholder coordination and collaboration.
- Excellent English communication (verbal and written); other languages a plus.
- Willingness to work flexible hours when operational requirements demand.
QUALIFICATIONS AND EXPERIENCE:
The following is essential for this position:
- Grade 12 (Matric).
- Minimum 35 years experience.
- Relevant tertiary qualification in one or more of the following: Business Administration Compliance Management Project Management certification (advantageous).
- Maintenance administration.
- Regulatory compliance management.
- Aircraft sales or OEM coordination (advantageous).
- International crew deployment coordination.
