JOB SUMMARY:

Were seeking a polished proactive Executive Assistant to support the Director and team in running operations efficiently. This role demands exceptional organisational skills strong communication abilities and a talent for maintaining confidentiality. You will ensure seamless coordination across administrative and client-centric tasks contributing to companys mission of trust precision and excellent service.


KEY RESPONSIBILITIES:

  1. Administrative Support:

  • Manage calendars coordinate meetings and schedule appointments for the executive(s).

  • Prepare edit and format documents presentations and reports as needed.

  • Handle incoming and outgoing correspondence ensuring timely responses and prioritising urgent matters.

2. Communication Management:

  • Act as a point of contact between executives clients team members and external stakeholders.

  • Draft proofread and send communications on behalf of the executive(s) as required.

  • Organise and manage internal and external communications to ensure alignment and clarity.

3. Travel & Expense Management:

  • Arrange complex travel itineraries including flights accommodations and transportation.

  • Prepare travel documentation and ensure all logistics are in place for seamless trips.

  • Manage expense reports reimbursements and budgets related to executive activities.

4. Project Coordination:

  • Assist in planning and executing company events meetings and projects.

  • Track deadlines follow up on project progress and provide reminders and updates to the executive(s).

  • Conduct research compile data and prepare materials to support decision-making.

5. Confidentiality & Discretion:

  • Handle sensitive information with the utmost confidentiality and professionalism.

  • Uphold privacy standards in all aspects of communication and documentation.




Requirements

SKILLS & QUALIFICATIONS:

  • Proficiency in MS Office Suite (Word Excel PowerPoint Outlook) and familiarity with project management tools.

  • Excellent written and verbal communication skills.

  • Strong organisational and multitasking abilities.

  • High attention to detail and a proactive approach to problem-solving.

  • Ability to work independently and collaboratively within a fast-paced environment

  • Minimum of 3-5 years in an Executive Assistant or similar administrative role ideally supporting senior executives.

  • Bachelors degree in Business Administration Communications or a related field preferred.

Required Skills:

At least 4 years experience in executive assistant or in a similar administrative role Experience with an Accounts Administration Role Proficiency in office software and productivity tools. Quickbooks Experience. Ability to work independently and collaboratively Desired Skills or Qualifications: Intermediate MS Excel and MS Word Certification Strong organizational and multitasking skills with meticulous attention to detail. Excellent written and verbal communication skills. Prior experience in rental properties a plus
