Job Summary

Position Description



Under the direct supervision of the Executive Manager the Administrative Coordinator Executive Operations provides high-level administrative and operational support to ensure the efficient day-to-day functioning of the Commissioners position serves as a strategic backup to the Executive Manager and assists with calendar coordination meeting preparation office administration travel logistics special projects and internal communication. The Administrative Coordinator works closely with department leadership external stakeholders and constituents to maintain operational continuity professionalism and responsiveness. The role requires strong organizational skills discretion adaptability and the ability to operate in a fast-paced governmental environment.


Duties & Responsibilities:

  • Coordinate the Commissioners daily schedule and ensure timely preparation and distribution of briefing materials.

  • Provide advance support and logistical coordination for meetings public engagements and special events.

  • Draft edit and proofread correspondence memoranda reports and briefing documents.

  • Prepare agendas compile briefing packets track action items and document meeting summaries as assigned.

  • Manage event logistics including staffing coordination vendor communication room setup and related arrangements.

  • Oversee office administrative functions such as records management supply procurement and travel coordination.

  • Assess route and respond to constituent inquiries while maintaining professional communication with internal and external stakeholders.

  • Support research initiatives policy tracking workflow improvements and other duties as assigned to advance office operations.

Requirements

Education:

  • Associates degree or 60 hours of college equivalent required.

Experience:

  • Minimum of two (2) years of verifiable experience in an administrative or executive support capacity.

Knowledge Skills and Abilities:

  • Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.

  • Excellent written and verbal communication skills.

  • Ability to exercise discretion and maintain strict confidentiality.

  • Ability to work independently and use sound judgment in decision-making.

  • Strong interpersonal skills and ability to work effectively with individuals at all organizational levels.

  • Proficient in Microsoft 365 (Word Excel PowerPoint Outlook); ability to learn County systems (e.g. PeopleSoft or other administrative systems).

  • Experience preparing reports presentations and briefing materials.

  • Ability to adapt to shifting priorities in a fast-paced executive environment.

Preferences

  • Bachelors degree preferred.

  • Experience in a governmental or public-sector environment preferred.

General Information

Position Type and Typical Hours of Work:

  • This is a full-time position requiring 40 hours per week.

  • Hours may vary based on business needs.

  • Evening weekend or holiday work may be required during special events Commissioners Court or emergency operations.

  • May be required to report on-site during emergency or disaster response situations.

Work Environment:

  • This job operates in a clerical office setting.

  • This role routinely uses standard office equipment such as computers phones photocopiers filing cabinets and fax machines.

  • Noise level in the work environment is usually average.

Physical Demands:

  • This position is largely sedentary but may require occasional lifting of up to 2550 pounds standing for extended periods during events and light event setup support.
