Job Summary

Mater Dei is seeking applications from suitably qualified and experienced candidates to join our NextPath Continuous Learning Team.

NextPath Continuous Learning is a part of the Mater Dei organisation and is our post-secondary school program which empowers participants to set self-determined goals in relation to educational work and life skills and provides service via NDIS funding.

About the Role

The Administration and Support Officer works alongside the Administration and Resource Officer Program Coordinators and Program Manager to ensure the smooth and efficient running of the NextPath Continuous Learning addition the role encompasses responsibility for responding to and assisting with inquiries from staff parents/carers and the community.

Key Responsibilities

Office Process Improvement and Systems Implementation Responsibilities:

  • Provide administrative support to the Program Manager and Program Coordinators to ensure day-to-day efficiency of the programs
  • Responsible for evaluating and streamlining all administrative processes across the NPCL program
  • Support with the management of participant attendance and maintenance of CRM System
  • Understand billing processes and program systems as back up support
  • Assume key responsibilities for organisation policies and procedures as required

Program Manager Support Responsibilities:

  • Manage emails diary appointments and internal meeting schedules for the Program Manager
  • Monitor emails and triage/prioritise enquiries
  • Coordinate internal communications meetings and stakeholder engagement (inclusive of setting and distributing agendas minutes and follow-ups)
  • Support document control: formatting version control and staff communication.
  • Ensure timely filing of incident reports service cancellations feedback and complaints.
  • Oversee staff culture initiatives (i.e. Christmas Party special events gifts etc.)

Support Services Responsibilities:

  • Liaise with maintenance and contractors to coordinate repairs and maintenance (fleet/building)
  • Support with the maintenance of staff compliance documentation
  • Organise recruitment scheduling onboarding packs and induction logistics
  • Assist with payroll staff rosters and timesheet accuracy checks
  • Manage and process reimbursements and petty cash requests
  • Manage invoice approvals and payments in collaboration with Support Services Finance Team
  • Liaise with IT to coordinate IT set up for team members and manage IT asset register

Key Selection Criteria

  • Minimum 2 years experience in a NDIS community services or health administration role
  • Demonstrated experience with NDIS and CRM systems (ideally CareMaster or equivalent)
  • Experience supporting executive or management-level staff in an administration or EA capacity
  • Strong organisational and multitasking skills with high attention to detail
  • Excellent written and verbal communication including report formatting and professional correspondence
  • Knowledge of SCHADS Award NDIS Practice Standards and NDIS Code of Conduct (desirable)
  • Certificate III or IV in Business Administration Disability Community Services or equivalent (desirable)

Position Requirements

  • A valid NSW Drivers Licence.
  • Current First Aid/CPR Certificate.
  • Current Working with Children Check and NDIS Worker Screening Check.
  • Completion of the NDIS Worker Orientation Module.

Remuneration and Benefits

  • This position is classified under the SCHADS Award as a Community Services Employee Level 3 with the rate of pay commencing from $38.65 per hour.
  • Salary Packaging Benefits where you are able to package up to $15900 per annum to reduce your taxable income.
