Join our team as an Executive Assistant supporting the Executive Director of our Continuing Care Retirement this role you will independently manage communications correspondence issue resolution scheduling travel arrangements and resident/vendor requests.

How you will make an impact
- Answer and screen all incoming calls emails and voice mail for the Executive Director
- Scheduling board meetings preparing meeting agendas and organizing supporting documents/materials (board packets)
- Greets residents and other walk-in visitors. Manage traffic flow and access to Executive Director and provide direct assistance to walk-in visitors when appropriate
- Address and resolve various community/resident issues as appropriate with minimal direction from the Executive Director. Escalate or refer issues to the appropriate person as needed.
- Acts as a liaison between Executive Director and personnel outside companies and residents
- Manage the calendar of the Executive Director scheduling meetings and conferences and handle shifting priorities and conflicts as they arise
- Process departmental mail and ensure that appropriate follow-up and prioritization occurs on all other correspondence
- Prepare and type the minutes of staff meetings and maintain intra- and inter-departmental communications.
- Gather maintain and send timesheets for all department personnel.
- Coordinate travel itineraries including air and ground transportation and hotel accommodations
- Maintain files and data storage set up conferences and meeting rooms as needed and process expense reports.
What you will need
- Proficient in Microsoft Office Suite and Google Workspace
- Minimum 3 years of executive administrative support
- High level of organization to manage complex scheduling and multitasking
- Assist in drafting and distributing meeting agenda and materials for board members
- Strong verbal and written communication for managing emails phone calls and resident correspondence
- Comfortable working in an environment with competing deadlines and shifting priorities
- Experience in a retirement community or nursing facility preferred
