Position Overview

We are looking for a highly motivated candidate for the role of Executive Assistant at TwoStep Therapeutics. This position is responsible for providing primary support to the CEO with additional administrative duties across departments.

The ideal candidate will have extensive experience providing efficient administrative support to executives with strong attention to detail and project management skills. This position requires a positive self-directed work style to complete tasks with minimal supervision the initiative to think critically and act independently and anticipate requirements and the judgment and dexterity to react and shift priorities quickly while remaining calm and efficient with a professional image.

Key Responsibilities

  • Support and manage all administrative tasks associated with the desk of the CEO.

  • Organize set up and support meetings and teleconferences across multiple time zones; ensure participant scheduling communication & confirmation.

  • Maintain calendars ensuring they remain updated and accurate; identify and resolve potential conflicts.

  • With guidance from the CEO schedule and coordinate meetings and company communications with internal and external stakeholders including Board of Directors and Investor meetings.

  • Provide phone and email support and prompt follow-up to meeting requests and correspondence.

  • Prepare organize modify and publish presentations handouts and other communications.

  • Track and maintain confidential files business documents (such as CDAs) and contact information.

  • Respond quickly and effectively to last-minute changes to meetings and logistics.

  • Arrange air travel hotel accommodations and other transportation needs and meals/restaurants for Domestic and International travel.

  • Prepare and process expense reports promptly.

  • Manage and track ad hoc projects across departments to ensure all parties are up-to-date and timely.

  • Oversee some office administrative tasks including mailings ordering supplies and lunch coordination as needed.

Essential Qualifications

  • Bachelors Degree and 3 years of administrative experience supporting a senior executive in a fast-paced environment with little supervision.

  • Prior experience at a rapidly growing Biotech or Life Sciences company.

  • Ability to multitask and prioritize work with unquestionable attention to detail to ensure deliverables are met on-time and accurately.

  • Proficient in MS-Office (Word Excel PowerPoint Outlook) Adobe Acrobat DocuSign and web-conferencing programs (Zoom Teams Slack etc.).

  • Discretion combined with poise and professionalism in all communications.

  • Ability to exercise good judgment regarding information that may be confidential or sensitive.

  • Excellent planning organizational problem-solving written and verbal communication skills.

  • Self-directed and able to work to achieve objectives with little oversight.

  • Professional appearance with effective in-person phone and email presence.

  • Positive upbeat personality and team player with excellent interpersonal communication skills.

  • Approach work with a holistic viewpoint and thoughtfulness for TwoSteps goals and team members.

Preferred Qualifications

  • Strong skills within PowerPoint for deck building and storytelling.

  • A desire to be a part of a Biotechnology company and learn about the industry through hands-on experiences.

  • Proficiency in reviewing and editing documents.
