Starting salary for this position is: $3752 (Monthly)

Employees hired at the entry step of this range receive salary step advancement after six months and every 12 months thereafter. An employee hired at anything higher than the entry step of the range will have salary step advancement after 12 months and every 12 months thereafter until they reach the top of the salary range. Each salary step advancement will be approximately a 5% increase.

JOB SUMMARY

Under the general supervision of the Director of Concurrent Enrollment Programs the Program Specialist provides administrative and programmatic support for the Office of Concurrent Enrollment Programs. This role supports dual credit programs at Spokane Falls Community College (SFCC) including Running Start and Career and Technical Education (CTE) and Gateway to College. Key responsibilities include processing applications transcript evaluation monitoring student progress toward high school diploma completion managing CTE articulation agreements collecting and reporting program data and performing related duties.

DUTIES AND RESPONSIBILITIES

  • Coordinate and monitor all aspects of concurrently enrolled student progress toward earning a high school diploma including but not limited to; processing applications intake and evaluation of transcript processing enrollment verification forms updating grades credits and test scores quarterly. *
  • Create track and reconcile various reports. Assist in the preparation of grants and program reporting. *
  • Coordinate with teachers counselors staff and administrators to successfully complete all aspects of the admissions and registration processes for dual enrolled high school students. *
  • Assist with outreach efforts including presentations (virtual and in-person) classroom visits as well as dual credit information night presentations. *
  • Collaborate with the Director to design and implement CRM driven communication and recruitment campaigns using email phone and other outreach tools.
  • Track student eligibility requirements and communicate progress with teachers administrators counselors and students. Process admissions and registration for dual credit students and coordinate related student services for concurrent enrollment programs.
  • Serve as the primary point of contact for Career and Technical Education (CTE) and communicate verbally and in writing with teachers faculty administrators staff and students regarding program-related activities including applications transfer of credit enrollment and general program inquiries.
  • Collect analyze and prepare course enrollment reports; collaborate with high school staff to ensure accurate student rosters.
  • Utilize Canvas to manage and maintain student forms and records ensuring accuracy organization and compliance with program requirements.
  • Generate final rosters for CTE teachers updating supervisor and other appropriate parties on course enrollment numbers. *
  • Assist Dual Enrollment Program students with processes/transactions such as ctcLink applications for admissions online registration resolving hold blocks etc. Work with Dual Enrollment Program seniors to transition to traditional students. *
  • Build maintain monitor and purge concurrent enrollment student files as needed. *
  • Generate required reports and maintain accurate departmental statistics. *
  • Travel with the Director of Community Outreach and Dual Enrollment to work with area high Model professional decorum and mutual respect in all personal interactions. *
  • Comply with district policies procedures and directives state and federal regulations orders and statutes and collective bargaining agreements. *
  • Support and advance Spokane Colleges strategic plan and perform other duties as assigned. *

MINIMUM QUALIFICATIONS

  • Associate degree from an accredited institution. Or an equivalent mix of education and experience that demonstrates the candidate meets all competency requirements for this position.
  • Two years of experience working in and educational setting.
  • Excellent student-centered customer service outstanding interpersonal skills organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Experience using computers spreadsheets database and word processing software.
  • Ability to be supportive in providing information and services to concurrently enrolled students.
  • Ability to effectively organize multiple work assignments involving competing priorities to produce work products that are accurate of high quality and meet deadlines.

DESIRED QUALIFICATIONS

  • Bachelors degree or higher from an accredited institution.
  • Experience in higher education.
  • More than two years of work in an educational setting
  • Knowledge/experience of Dual Enrollment Programs and Admissions/Registrations services.
  • Demonstrated data tracking monitoring and preparing reports.
  • Knowledge of FERPA rules and regulations.

PHYSICAL REQUIREMENTS

  • Work is performed in a normal temperature-controlled office environment.
  • Occasional to frequent change in position from sedentary standing stooping and walking.
  • Frequent use of computer and exposure to terminal screens.
  • Frequent repetitive hand/wrist motions and finger manipulation.
  • Visual focus and strain.
  • Work in a semi-open office setting with frequent interruptions and background noise.

  • Work involves answering on demand questions by phone in person or electronically.

CONDITIONS OF EMPLOYMENT

  • Full-time schedule (12-month 40-hours a week).
  • 6-month probationary period.
  • This position is overtime eligible.
  • Requires local or regional travel.
  • Criminal background checks are required.
  • May be required to work alternate shift.
  • This position is covered under a collective bargaining agreement. Membership is optional.
