Qualifications:
- 2 years of experience in office administration
- Experience with Google Workspace or O365 familiarity with other tools (task management tickets etc.)
- Experience of working with confidential documents and invoices.
- Strong organization skills you are also a responsible and attentive person.
- Experience in an international company / multicultural teams.
- English: Advanced level
- Mandarin Chinese: fluent for daily work and local communication.
Key Responsibilities:
- Mail courier and correspondence: Receive and register incoming and outgoing mail and courier shipments. Track deliveries and keep proof of delivery. Distribute documents to the right internal teams.
- Invoices and documents: Receive invoices and related documents. Do a basic check (documents complete correct info). Send invoices and documents to Finance/Accounting on time (same day or next working day). Scan and file documents in an organized way.
- Communication with partners: Communicate with office partners and service providers: building management/landlord courier companies cleaning security repairs internet/phone providers. Solve daily office issues quickly and politely.
- Find and manage office suppliers: Search and select suppliers for office needs: stationery office supplies cleaning services small repairs water/coffee other office services. Ask for offers compare prices and terms and support the approval process. Control service quality and keep a supplier contact list.
- Receive office purchases and deliveries: Receive office purchases and deliveries. Check real items vs documents (quantity item name condition). Report any differences and follow up until resolved.
- Support visits of employees from other countries: Organize office access and basic setup (workplace badges/keys if needed). Support hotel and local transport bookings when required. Help visitors with simple office rules and directions.
- Support business trips and delegations: Book flights/trains hotels and local transport. Support schedule changes and urgent travel updates. Collect travel documents for expense reports together with Finance.
