Do you enjoy bringing structure to everyday work and ensuring that things simply function We are looking for a Workplace & Operations Associate to take ownership of our Stockholm office and provide structured support to the founders and team.
This is a versatile role combining workplace oversight travel coordination and administrative structure. You will be based in the Stockholm office four days per week and can work between 32 and 40 hours per week.
You will ensure that our office environment is well maintained organized and ready for daily work. At the same time you will coordinate practical matters for the founders and support the team with logistics and administration when needed.
This position suits someone who enjoys both hands-on tasks and structured planning and who takes pride in creating clarity in the background.

Tasks
Workplace & Office
- Ensure the office is welcoming clean and fully stocked
- Manage kitchen common areas groceries and general supplies
- Oversee everyday practical needs in shared spaces and restrooms
- Coordinate external vendors and service providers
- Handle mail purchases and basic documentation
- Support meeting logistics and visitors
Travel & Logistics
- Book hotels flights and transport for the team
- Coordinate public transport arrangements and related travel administration
- Manage travel documentation and practical planning
Founders & Team Coordination
- Coordinate calendars and meeting scheduling
- Prepare and follow up on practical arrangements
- Support prioritization and day-to-day planning
- Provide structured administrative support where needed
Administrative & System Support
- Assist with light HR administration when required
- Manage simple agreements and paperwork
- Support basic IT administration such as account access and password resets

- Experienced in a coordination office or executive support role
- Office presence 3-4 days in Stockholm is mandatory
