We are hiring an Administrative Staff Assistant (Bilingual) for one of our clients in Morris Plains NJ.
Job Description:
MSW ETS is seeking a highly skilled administrative professional to support a multi-departmental office serving MSW ETS the Workforce Development Board of Northwest New Jersey the New Jersey Department of Labor and the Morris County Department of Human Services.
This position requires a self-managed dependable individual who is proactive organized and confident working independently. The ideal candidate is warm professional and empathetic able to think on their feet solve problems in real time and provide steady support to clients and staff in a fast-paced public service environment.
This role may require travel to One-Stop Career Center locations throughout the tri-county service area to support operational needs. The position also functions as a front-line triage resource helping assess client needs manage service flow and ensure individuals are connected to appropriate programs and staff in a timely manner.
Job Duties:
- Serve as the primary front desk and client support contact for a multi-departmental Morris County office maintaining a welcoming and professional environment.
- Greet clients assess immediate needs and determine appropriate services or referrals using sound judgment and empathy.
- Answer and screen incoming telephone calls and manage high-volume inquiries calmly and
- professionally.
- Provide general information related to job training programs unemployment insurance job search services and Work First NJ.
- Serve as a front-line triage point during high-volume periods by assessing client needs and directing services appropriately.
- Coordinate and book client transportation for approved programs and services resolving scheduling issues as they arise.
- Travel to One-Stop Career Center locations throughout the tri-county service area as needed to support staffing coverage and operational demands.
- Manage complex spreadsheets used for tracking client services transportation activity and program reporting.
- Perform accurate data entry and ongoing record maintenance in internal county databases and state systems including AOSOS.
- Schedule client training orientations on behalf of counselors send confirmations enter services and respond to client questions.
- Review WIOA questionnaires with clients for school monitoring when required.
- Manage and respond to emails from clients staff and partner agencies in a timely and professional manner.
- Prepare orientation materials and program packets as needed.
- Receive and process courier deliveries.
- Maintain hallway literature racks and ensure materials remain current.
- Purge outdated files and update records in accordance with county procedures.
- Anticipate administrative and operational needs and provide consistent support to staff.
- Perform additional clerical and administrative duties as assigned.
Mandatory skills/certification(s) Requirement:
- Bilingual Spanish required
- Demonstrated experience in a senior-level administrative operations or program support role
- Strong customer service background preferably within government or human services
- Advanced computer proficiency including strong spreadsheet management skills
- Ability to work independently and self-manage workload with minimal supervision
- Strong sense of accountability and follow-through
- Thinks quickly and solves problems effectively in real time
- Friendly warm and approachable communication style
- Empathetic and respectful when working with diverse and vulnerable populations
- Highly organized with strong attention to detail
- Able to remain calm professional and solution-focused under pressure
- Exercises sound judgment and discretion at all times
- Comfortable serving as a central coordination and triage resource
- Willingness and ability to travel throughout the tri-county service area as required.
- Microsoft Office (Word Access Excel Outlook) State Systems AOSOS Microsoft Teams WebEx
Desired skills:
- Bilingual Spanish required
- Ability to handle sensitive and confidential information appropriately
- Valid drivers license and ability to travel throughout the tri-county service area preferred
Education required:
- High school diploma required
- Associate or bachelors degree preferred in Public Administration Business Administration Human Services or a related field
