Job summary and Purpose
The Learning Systems Support Specialist plays a pivotal role in supporting Lyceum Colleges digital learning ecosystem within an Open Distance Learning (ODL) environment. The role is responsible for the administration optimisation and support of the institutions Learning Management System (LMS) providing first-line technical support to students and faculty and utilising data analytics to enhance teaching learning and institutional decision-making.
The incumbent ensures reliable delivery of online learning seamless access to digital academic resources and the effective use of learning data to improve student engagement retention and academic performance. Working collaboratively across academic administrative and IT functions the role contributes to institutional effectiveness and continuous improvement aligned to higher education quality standards.
Key Responsibilities
1. Learning Management System Administration and Support (45%)
Administer configure and maintain the Moodle Learning Management System to ensure optimal performance and user experience.
Monitor system performance and coordinate minor maintenance upgrades and security updates.
Manage user roles permissions and enrolments for students faculty and staff in line with institutional policies.
Provide first-line technical support for LMS users including login issues access permissions course visibility assessment submission and gradebook queries.
Develop user training materials step-by-step guides FAQs and support documentation.
Conduct LMS training sessions for faculty and students.
Support course setup and ensure assessment shells are configured and ready within institutional timelines.
Maintain documentation of LMS workflows processes and support procedures.
Liaise with IT teams or external vendors regarding escalated technical issues and system enhancements.
2. Academic and Operational Data Analysis (30%)
Collect clean and validate data from LMS and other academic systems such as SIS Digital Assessment Systems and related learning platforms.
Develop dashboards and visual reports using tools such as Power BI Excel or Tableau.
Monitor and report on student engagement course completion assessment outcomes and retention indicators.
Produce ad hoc and scheduled reports for academic departments management and institutional committees.
Conduct trend and predictive analysis related to student performance and progression.
Automate recurring reports and streamline data workflows where appropriate.
Collaborate with academic teams to interpret data and provide actionable insights for course design and student support interventions.
Ensure data integrity confidentiality and compliance with POPIA and institutional data governance requirements.
3. Digital Learning Technology and IT Support (15%)
Provide first-line technical support for digital learning platforms virtual classrooms and related educational technologies.
Assist with setup and troubleshooting of video conferencing tools and e-learning software.
Support user connectivity and authentication issues.
Assist in configuration and maintenance of educational software and LMS integrations.
Participate in IT projects related to digital learning infrastructure.
Promote adherence to institutional IT security and cybersecurity protocols.
4. Quality Assurance Compliance & Institutional Alignment (10%)
Ensure digital learning systems support institutional compliance with higher education and ODL requirements.
Participate in internal audits and quality assurance processes related to digital learning.
Contribute to development and periodic review of LMS policies SOPs and risk mitigation plans.
Support continuous improvement initiatives within Academics and IT support functions.
Requirements
REQUIREMENTS OF THE JOB
Education
A National Diploma or higher qualification (completed or in progress) in IT Data Analytics or Education Support is advantageous. Minimum: National Diploma or equivalent in Information Technology Data Management or related field.
Degree or higher qualification in Information Technology Data Analytics Education Technology or related discipline is advantageous.
LMS administration or Moodle certification is advantageous.
Experience
Experience or exposure in LMS administration or learning platform support.
Prior experience in academic support digital learning environments or data analytics is beneficial.
Exposure to online learning platforms (e.g. Moodle Blackboard MS Teams Education).
Experience within a higher education or e-learning environment is advantageous.
Technical Skills
Strong understanding of digital learning technologies and LMS functionality.
Basic knowledge of LMS integrations course configuration and user management.
Proficiency in data analysis and dashboard tools (Excel Power BI Tableau).
Basic IT troubleshooting and system support capability.
Familiarity with web and database concepts is advantageous.
