The Bronx District Attorneys Office seeks a highly organized and detail-oriented Legal Recruitment and Retention Coordinator/Administrative Assistant to support the Legal Recruitment and Retention Bureau. The ideal candidate for this position will provide administrative and operational support to ensure the smooth execution of recruitment onboarding and retention initiatives for Assistant District Attorneys (ADAs) and interns. This role requires discretion efficiency project management skills and the ability to manage multiple priorities in a fast-paced environment.
JOB RESPONSIBILITIES:
Provide direct support to the Chief of Legal Recruitment and Retention.
Answer Legal Recruitments main phone line promptly and courteously identify the callers needs and redirect them to the appropriate party or department for resolution.
Manage and organize the central legal recruitment inbox
Provide day-to-day administrative support to the Legal Recruitment Bureau including scheduling filing and handling correspondence and perform clerical duties.
Assist with scheduling and coordinating recruitment events including law school visits career fairs panel interviews and informational sessions.
Maintain applicant tracking systems and recruitment databases; generate reports on applicant flow hiring progress and retention metrics.
Coordinate the logistics of candidate interviews including scheduling panel coordination and candidate communication.
Support onboarding processes by preparing offer letters managing pre-employment documentation and ensuring completion and compliance of required onboarding forms.
Prepare and proofread documents memos reports and presentations.
Prepares materials and agendas for meetings takes and distributes meeting minutes and follows up on action items.
Serve as a point of contact for candidates law schools and internal staff regarding recruitment matters.
Help manage recruitment communications including newsletters social media postings and outreach to law schools and professional associations.
Coordinates hiring meeting materials and assists with follow-up efforts.
Track attorney data including but not limited to bar passage and court admissions.
Provide backup support for Recruitment Team members and to special projects as assigned.
Work collaboratively and across the team and other departments of the firm.
Aid the Chief in project management including but not limited to maintaining spreadsheets coordinating tasks related to internships hiring and onboarding.
Coordinate meetings and conference calls.
Draft communications to all levels of staff and outside stakeholders.
Organize and maintain tracking online systems.
Maintains professional standards in all interactions exercising sound judgment and discretion with confidential information.
All other duties as assigned.

Qualifications :
1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to 1 or 2 above. However all candidates must have at least one year of experience as described in 1 above.
