BRIEF JOB DESCRIPTION: This position provides administrative support by performing complex and varied office tasks. The role requires the use of independent judgement initiative and discretion in making decisions on a wide range of matters.

Primary responsibilities include:

  • Entering and maintaining information in databases
  • Processing contracts and invoices
  • Reviewing and processing various permit applications
  • Procurements
  • Providing additional administrative support as needed.

The ideal candidate will demonstrate exceptional communication and customer service skills strong attention to detail and accuracy and the ability to interpret and apply laws rules and regulations in diverse situations. Due to the cross-functional nature of this role adaptability and flexibility are essential.

MINIMUM QUALIFICATIONS: Training education or experience in office and administrative support work that demonstrates 1) competency in applying a proficient knowledge of modern office practices to perform advanced administrative support tasks requiring specialized skills and 2) the ability to use independent judgment initiative and discretion to make determinations on varied matters. All positions in this classification assume the qualifications of:Office Assistant IOffice Assistant IIOffice Associate IandOffice Associate II.

Well-qualified candidates will demonstrate the following competencies:

  • Proficiency in Microsoft Excel Outlook Word Access and other office technology and equipment
  • Experience using Advantage and MainePays
  • Strong time management skills and the ability to meet tight deadlines
  • Proven ability to balance multiple tasks and priorities while adapting to changing business needs
  • Highly effective written and verbal communication skills
