Job Summary

Position Summary

The Office Manager supports the administrative financial and accounting operations of Bristol Culinary Services portfolio. This is an office-based role responsible for coordinating purchasing costing human resources including benefits management assisting with bookkeeping managing documentation and handling general administrative tasks. The ideal candidate is highly organized detail-oriented professional.

Bookkeeping & Financial Administration

  • Assist with basic bookkeeping tasks including expense tracking and invoice organization
  • Review financial documents for accuracy and completeness
  • Prepare and organize documentation for accounting and management
  • Support month-end and reporting processes as needed

Documentation & File Management

  • Manage documentation including contracts invoices tax records and operational files
  • Maintain consistent file naming and folder structures for easy retrieval and audits

Systems & Software

  • Learn and operate Bristol backend operational systems
  • Assist with KPI reports sales and reporting functions within Bristol platforms
  • Follow Bristol brand standards and internal company procedures

General Administrative Duties

  • Perform general administrative tasks to support daily office operations
  • Assist management with scheduling correspondence and data entry
  • Prepare reports spreadsheets and summaries as requested
  • Coordinate with internal teams and external vendors as needed

Required Qualifications

  • Understanding of bookkeeping and financial documentation (GAAP)
  • Strong organizational and administrative skills
  • Strong written and verbal communication skills

Preferred Qualifications

  • Experience in culinary facility management or administrative roles
  • Familiarity with accounting software (QuickBooks or similar)
  • Experience with POS Systems

  • Ability to learn new software and processes quickly
  • Reliable organized and self-motivated

Work Environment

  • Office-based role downtown St Petersburg FL
  • Standard business hours with occasional flexibility based on workload
  • Bachelors or related experience required
