Administrative Assistant to the Executive Director

Of Human Resources and Public Information Officer

Accountability Objectives:

The Administrative Assistant under the direction of the Director of

Human Resources is responsible for the coordination

of all functions of the Human Resources Office.

Objectives of the position include but are not limited to: (1) broad knowledge of

Administrative functions and thorough knowledge of personnel policies and

Administrative rules and regulations; (2) Administrative Writing Skills Verbal

Communication Skills; (3) Maintaining Employee Files; (4) Orienting Employees;

(5) Benefits Administration; (6) Pre-Employment Screening; (7) Professionalism

Organization; and Teamwork; (7) Documents Human Resources actions by

completing forms reports logs and records; (8) Monitors unemployment claims

(9) Accomplishes human resources department and district mission by

completing related results as needed; (10) Supports explains and monitors the

licensure process for certified employees; (11)Supports with employee recognition programs

Position Qualifications

Required Qualifications: Post secondary secretarial training; recent successful

experience as an administrative assistant and/or relevant experience/training.

Desired Qualifications: Associate or Bachelors Degree and/or comparable

experience and personal characteristics that reflect excellent record keeping and

secretarial skills; organizational ability broad knowledge of administrative

functions and personal relations skills.

Special Requirements: Ability to explain and interpret policies and procedures to

employees; ability to manage information systems; ability to perform varied

difficult and complex clerical tasks at a high rate of speed and accuracy; ability

to prepare and maintain clear detailed and complete reports; knowledge of data

spreadsheets and word processing; thorough knowledge of human resources

programs mode of operation and policies; thorough knowledge of modern office

technology and procedures; excellent interpersonal and public relations skills and

ability to function with independent judgment.

Position Responsibilities:

  1. Maintain confidentiality and integrity
  2. Meet deadlines
  3. Prepare read and comprehend a variety of job related forms reportsspreadsheets records documentation and correspondence required by the job
  4. Provide excellent customer service to all employees stakeholders and the general public with poise and confidence
  5. Respond in a timely manner to inquiries or complaints exercising professional judgment in situations requiring problem-solving or decision-making that comply with policies and established procedures
  6. Perform under stress and exhibit the highest level of professionalism and judgment when confronted with difficult or emergency situations
  7. Be sensitive to cultural differences among individuals and groups
  8. Ability to use a variety of automated office machines and equipment; utilize current technology to complete tasks
  9. Proofread materials produced in the department
  10. Places and receives telephone calls records message and keeps the Executive Director of Human Resources Officer informed
  11. Schedules appointments for the Executive Director
  12. Plans and coordinates special events/meetings
  13. Provides support and coordination of teacher licensure; employee benefits program; employee recognition programs (e.g. Teacher of the Year Principal of the Year Retirement Banquet)
  14. Maintains human resource records with interviewing and hiring process; recording new hires; transfers terminations changes in job classifications;conduct and manage criminal background checks for volunteers/chaperones; new hires and athletic coaches
  15. Creates and maintains the Personnel Report for Board of Education meetings
  16. Orients new employees by providing new employee packets; explaining the benefits program and district policies and procedures
  17. Assists leave of absence employees with their benefits
  18. Assists with short-term extended short-term and long-term disability benefits
  19. Assists with Beginning Teacher Program and supporting documentation
  20. Develops paperwork for retiring employees
  21. Maintains the Human Resources page in Central Information
  22. Updates and maintains job vacancy postings and applicant pool inApplication System
  23. Supports school-based administrators with the North Carolina Educator Evaluation System as well as evaluation resources for all other employees
  24. Develops flowcharts for teacher evaluations
  25. Maintain administrator and employee contracts
  26. Manage substitute teacher process including pre-employment screening
  27. Maintains a positive approach to public education and fosters favorable public relations with internal and external customers
  28. Assists with switchboard backup and relief coverage
  29. Collaborative relationship with other departments and school-based administrators. Completes all other duties as assigned by the Executive Director of Human Resources/Public Information Officer

Physical Requirements:

The candidate must be able to perform the basic movements of stooping reaching

standing lifting and climbing addition the candidate must be able to lift carry

push pull or otherwise move objects up to 25 pounds.

Position Salary and Benefits Information

Support Level V Grade 63 Minimum $2729.00 Maximum $4754.68 plus Local Supplement

Schedule and Terms of Employment

Monday-Friday: 8:00 am to 4:30 pm

Summer Schedule: Monday-Thursday 10 hours/day
