In this role the Executive Assistant will primarily support three leaders in the growing Strategy Division of the Office of the President. The Executive Assistant will act as a primary administrative liaison ensuring seamless communication and coordination across the organization
DEPARTMENT DESCRIPTION
The Strategy Division leads strategy development business development service delivery planning and execution for UW Medicine inclusive of Harborview Medical Center UW Medical Center and in collaboration with integrated partners such as Fred Hutch Cancer Center and Seattle Childrens Hospital
PRIMARY JOB RESPONSIBILITIES
- Independently manage complex calendars for the Strategy Division senior leadership prioritizing high-impact meetings strategic engagements and critical deadlines
- Ensure optimal time management in line with strategic priorities
- Oversee and manage cross-functional projects including developing and implementing organizational processes managing high-stakes deliverables
- Serve as a key point of contact and administrative liaison between the Strategy Division senior leadership team and internal/external stakeholders across UW Medicine ensuring seamless communication and collaboration between departments
- Design and implement data management systems to improve operational efficiency and access to essential information across teams enhancing decision-making and reporting capabilities for the Strategy Division
- Draft and distribute executive communications including strategic updates presentations and high-level reports for senior leadership and external stakeholders. Ensure timely and accurate communication of complex confidential and time-sensitive information
- Provide advanced support for executive committees and key meetings including agenda development materials preparation minute-taking and follow-up on action items
- Manage communication with key stakeholders across UW Medicine and external entities including government officials community leaders and partner organizations
- Maintain professionalism and a high standard of service excellence in all interactions
REQUIRED QUALIFICATIONS
- Bachelors degree in business administration communications or related field
- Minimum of 5 years of progressively responsible administrative experience supporting senior leaders.
- Demonstrated experience managing complex calendars high-volume communication and multiple competing priorities.
- Exceptional written and verbal communication skills.
- Ability to handle highly sensitive and confidential information.
- Strong organizational skills with attention to detail accuracy and follow-through.
- Proficiency with Microsoft Office Suite Outlook and other productivity tools
- An equivalent combination of education and experience may substitute for stated requirements
