JOB PURPOSE/OVERVIEW/SUMMARY:
The Executive Assistant to the CEO plays a critical role in supporting the CEO by managing daily operations organizing priorities and ensuring smooth execution of business initiatives.
The CEO is highly visionary and idea-driven and this role acts as the operational backbonebringing structure clarity and accountability. The EA will manage the CEOs calendar convert ideas into actionable tasks track projects and follow up with teams to ensure timely execution while strictly protecting the CEOs time for strategic work research and learning.
KEY DELIVERABLES / RESPONSIBILITIES:
The ideal candidate enjoys structure details and processes and stays calm in fast-paced environments. They proactively anticipate needs and resolve issues before they reach the CEO.

Proactively identifies issues and suggests solutions

Comfortable with detailed execution and low-ego work with a strong focus on results
Manage and strictly protect the CEOs calendar as per defined schedules and priorities.
Convert the CEOs ideas and discussions into clear written tasks and action plans using Google Tasks.
Track execution of multiple ongoing and new projects including global expansion initiatives and new business ideas.
Follow up with 1015 team members on assigned tasks deliverables and deadlines to ensure full execution.
Prepare daily admin meeting agendas focusing on action items task closures calendar review and pending decisions.
Present challenges or issues to the CEO along with three well-thought-out solution options.
Maintain zero inbox discipline by reviewing and processing emails twice daily (by 10:00 AM and 5:00 PM IST) using approved templates.
Coordinate travel schedules logistics and personal commitments with high attention to detail and confidentiality.
Ruthlessly prioritize tasks based on revenue impact and business growth objectives.
Ensure complete confidentiality while handling sensitive business and personal information.
KEY SKILLS & QUALIFICATION PREFFERED:
Bachelors degree in Business Administration Management or a related field.
3 to 6 years of experience as an Executive Assistant Operations Coordinator Project Management or similar role supporting senior leadership.
Strong organizational planning and follow-up skills with high attention to detail.
Excellent calendar management and prioritization abilities.
Experience in project coordination and task tracking.
Proficiency in Zoho Suite (CRM Books Cliq etc.).
Hands-on experience with project management tools.
Familiarity with AI tools such as ChatGPT Gemini or similar productivity tools.
Strong communication skills and ability to work with multiple stakeholders.
Calm reliable process-driven and proactive working style.
