AU Permits Officer - Traffic Industry
Remote Full-Time
The Role
Were hiring a detail-oriented Permits Officer to join our offshore team and support permit application processing for a range of civil and infrastructure projects. This role is ideal for someone with strong administrative skills a proactive work style and the ability to coordinate efficiently with cross-functional teams. What Youll Do
Permit Administration & Coordination
- Submit permit applications accurately and on time following client and regulatory guidelines
- Maintain detailed records and documentation through reliable data entry
- Coordinate closely with traffic designers project teams and client contacts to track permit progress
Process Support
- Assist with preparing job sheets to support billing and invoicing
- Provide general administrative support to the Projects and Planning Team
- Manage and organize digital files including scanning formatting and email handling
Stakeholder Communication
- Respond to client queries within scope and escalate when needed
- Draft and modify internal correspondence including emails memos and reports
- Communicate regularly with onshore and offshore team members to ensure task alignment
Team & Workflow Management
- Guide and support offshore admin staff within the permits function
- Identify opportunities for process improvement and workflow efficiency
- Ensure administrative procedures comply with safety and regulatory requirements
- Perform other related tasks as assigned by the onshore team
Requirements
Who Were Looking For
- At least 2 years of administrative experience ideally in infrastructure logistics or construction
- Strong data entry and documentation skills with attention to detail
- Ability to coordinate with internal teams and external stakeholders effectively
- Proficient in Microsoft Office and digital file management
- Excellent English communication skills both written and verbal
- Self-motivated and able to work independently in a remote setup
- Familiarity with permits or regulatory paperwork is a plus
