VACANCY: Junior Commercial Coordinator
REPORTING: Commercial Manager
LOCATION: Durban
Starlite Aviation Operations (Pty) Ltd has a requirement for a detail-oriented organised and deadline-driven individual to fill a position as a Junior Commercial Coordinator.
As a Junior Commercial Coordinator you are responsible for the hands-on coordination preparation and submission of local and international tenders and proposals across the Humanitarian Mission Logistics HML and Training sectors. This role will manage the end-to-end administrative and documentation requirements of tender and RFP submissions ensuring all deliverables are compliant accurate and professionally presented.
KEY JOB RESPONSIBILITIES:
- Analyse tender and RFP documentation to identify requirements deliverables deadlines and compliance criteria.
- Develop and maintain compliance matrices submission schedules and bid trackers.
- Coordinate inputs from internal stakeholders and ensure timely receipt review and approval of content.
- Draft edit and tailor narrative content to align with specific clients sectors and geographies.
- Retrieve prepare and manage supporting documentation and mandatory forms.
- Assemble complete and accurate submission packs including all required annexures and attachments.
- Ensure final documents are professionally formatted compliant and aligned with branding standards.
- Manage tender documentation and libraries on SharePoint and other internal systems.
- Monitor bid progress and proactively flag outstanding actions or risks to deadlines.
- Support submission logistics including preparation for electronic and/or physical submissions.
- Maintain confidentiality of sensitive pricing commercial and contractual information.
CRITICAL REQUIREMENTS:
- Clear concise and compliant tender writing.
- Strong attention to detail and accuracy.
- Ability to follow tender instructions and formatting precisely.
- Excellent organisation and time management under tight deadlines.
- Calm under pressure while maintaining high-quality standards.
- Quick learner able to take guidance and own tasks.
- Effective stakeholder coordination and collaboration.
- Excellent English communication (verbal and written); other languages a plus.
- Willingness to work flexible hours when operational requirements demand.
QUALIFICATIONS AND EXPERIENCE:
The following is essential for this position:
- Tertiary qualification in Business Commerce Communications Administration or similar (advantageous).
- 3 years in coordination administrative commercial or proposal-related roles (tender/bid experience advantageous).
- Experienced with structured documents templates and formal submissions.
- Proficient in Microsoft Word and PowerPoint.
- Working knowledge of Adobe Acrobat.
- Comfortable with basic numeracy and Excel including updating simple tables and handling numerical data accurately.
