Tekberry is seeking a highly organized and detail-oriented Administrative Associate (Administrative Associate 2) to support the Department of Pediatrics Division of Gastroenterology Hepatology and Nutrition at a world-class academic and research institution.
This role provides high-level administrative and operational support to faculty within the Medicine Childrens Health Center for Pediatric IBD and Celiac Disease. The Administrative Associate will support faculty across administrative educational and research activities while also coordinating events managing financial and operational processes and serving as the divisions website and social media content administrator.
This position is critical in enabling faculty to focus on strategic priorities by ensuring operational and administrative functions are managed efficiently accurately and proactively.

Key Responsibilities
Administrative & Operational Support
- Respond to inquiries and determine appropriate actions; serve as a knowledgeable resource on defined policies and procedures.
- Provide high-level administrative support to faculty applying critical thinking to anticipate needs and resolve issues.
- Handle sensitive and confidential information with discretion and professionalism.
- Serve as a liaison between faculty campus partners staff and external organizations.
Event Seminar & Meeting Coordination
- Plan schedule and coordinate conferences seminars lectures meetings and special events.
- Recommend vendors oversee logistics manage materials production and coordinate internal and external services.
- Support last-minute requests and changing priorities with accuracy and efficiency.
Financial Procurement & Travel Support
- Process and monitor routine financial transactions including researching and resolving discrepancies.
- Process orders obtain vendor quotations and manage office supplies and equipment.
- Arrange travel and manage calendars in compliance with unit university and sponsor policies.
Communications Web & Social Media Support
- Draft and distribute routine communications presentations reports course materials and event documentation.
- Maintain approved content on division websites.
- Curate organize and update content for websites and social media platforms.
Tracking Reporting & Coordination
- Track ongoing administrative tasks deadlines and deliverables.
- Provide regular updates to faculty and leadership as needed.
- Assist with documentation reporting and operational tracking.
Additional Administrative Functions
- Support HR-related transactions such as timecards I-9s or faculty affairs processes as needed.
- Guide and train student or contingent workers including assigning tasks and reviewing work quality.
- Support office moves facilities coordination and health and safety reporting.
- Perform other duties as assigned.
Education & Experience (Required)
- High school diploma and three years of administrative experience or a combination of education and relevant experience.
Knowledge Skills and Abilities (Required)
- Proficient computer skills and demonstrated experience with office software and email applications.
- Demonstrated success in following through and completing routine tasks.
- Strong organizational skills and exceptional attention to detail.
- Strong verbal and written communication skills.
- Excellent customer service and interpersonal skills.
- Ability to prioritize multi-task and manage competing deadlines.

- Passion for social media and event planning.
- Proficiency with major social media platforms.
- Experience curating content for and maintaining websites.
- Demonstrated ability to exercise good judgment identify problems and seek appropriate resolutions.

- Detail-oriented approach with the ability to meet tight deadlines and handle last-minute requests accurately.
Physical Requirements
- Constantly perform desk-based computer tasks.

- Occasionally stand/walk; reach or work above shoulders; grasp lightly or with fine manipulation; grasp forcefully; use a telephone; sort/file paperwork; lift/carry/push/pull objects up to 10 pounds.
